The purpose of this role is to support the effective day-to-day management of a suite of customers and agents, ensuring a consistently high standard of service and smooth operational delivery.
You will be responsible for accurate order processing, clear communication, and coordinating closely with production and logistics to ensure customer requirements are met on time and in full.
You will also play a key role in managing shipping processes and documentation, ensuring all orders are handled compliantly and efficiently.
Alongside delivering excellent customer support, you will help maintain strong relationships and contribute to the ongoing development and growth across these accounts.
Basic responsibilities are, but not limited to, answering calls, replying to emails and processing new orders, following the progress of existing orders, processing sampling and building relationships with existing and new customers as well as maintaining customer satisfaction.
- Act as the primary contact for an agreed list/market of customers, including any relevant agents, ensuring a responsive, accurate and high-quality service at all times.
- Build strong relationships and promote the full product range, including new developments and sustainability initiatives.
- Manage all customer orders from receipt through to delivery, ensuring accuracy, timely processing and clear communication throughout.
- Provide up-to-date and reliable information on order status, production schedules and stock availability, working closely with production to manage expectations.
- Take ownership of MTO and bespoke orders, ensuring effective coordination across internal teams and clear communication with customers.
- Proactively manage stock planning and availability for export accounts to ensure continuity of supply.
- Prepare and manage all documentation, including commercial invoices, packing lists and any country-specific requirements.
- Ensure all activity is compliant with customs regulations, shipping requirements and agreed Incoterms.
- Liaise with the internal warehouse team and freight forwarders/logistics providers to coordinate shipments and resolve any issues or delays.
- Maintain accurate records and ensure a high level of attention to detail across all export documentation and processes.
- Processing pro-forma order payments and track unpaid orders.
- Team & Operational Responsibilities
- Support wider Customer Support team activity, including shared inbox management, ensuring all enquiries, orders and sampling requests are handled efficiently by the relevant personnel.
- Maintain working knowledge of all customer activity to support team cover during periods of absence or peak workload.
- Contribute to maintaining consistent service levels across both UK and export accounts.
- Process returned orders and arrange collections via the courier network as required
- Opening customer accounts and maintaining customer records by updating account information when required.
- Commercial Awareness & Development
- Identify opportunities to grow existing accounts and support the development of new business through research and customer engagement.
- Continuously develop knowledge of customers, markets and competitors to support effective account management.
- Attracting potential customers by answering product questions; suggesting information about products and the overall services offered by the business.
- Resolving challenges by clarifying the customer’s query determining the cause of the situation, selecting and explaining the best solution to resolve and follow up to ensure resolution
