Base pay range
$115,000.00/yr – $135,000.00/yr
Our client is seeking an experienced and proactive Executive Assistant to provide high-level administrative support to a C-Suite Executive while also managing general office operations and overseeing other administrative staff. This role requires exceptional organizational and leadership skills, the ability to anticipate needs, and a polished, professional demeanor.
Key Responsibilities
- Manage and maintain the Executive\’s calendar, including scheduling meetings, appointments, and travel.
- Prepare meeting agendas, take minutes, and handle follow-up tasks.
- Coordinate internal and external communications on behalf of the Executive.
- Prepare confidential correspondence, reports, and presentations.
- Oversee the day-to-day operations of the office to ensure a productive and efficient environment.
- Serve as the main point of contact for all office vendors and service providers.
- Manage office supplies, equipment, and facilities maintenance.
- Develop and implement office policies and procedures.
- Maintain and monitor the office budget, including expense tracking and reporting.
- Review and approve office-related invoices and purchases.
- Assist in annual budgeting processes and financial planning for administrative functions.
- Supervise junior administrative staff, providing guidance, performance feedback, and professional development.
- Delegate tasks appropriately and ensure timely execution of duties by junior staff.
- Support recruitment and onboarding of new administrative hires.
Qualifications
- Minimum 5 years of experience supporting C-level executives.
- At least 2 years of experience in a supervisory or team leadership role.
- Proven experience managing an office and office budget.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- High degree of discretion and professionalism in handling sensitive information.
- Proficient in Microsoft Office Suite and other business productivity tools.
