Base pay range

$115,000.00/yr – $135,000.00/yr

Our client is seeking an experienced and proactive Executive Assistant to provide high-level administrative support to a C-Suite Executive while also managing general office operations and overseeing other administrative staff. This role requires exceptional organizational and leadership skills, the ability to anticipate needs, and a polished, professional demeanor.

Key Responsibilities

  • Manage and maintain the Executive\’s calendar, including scheduling meetings, appointments, and travel.
  • Prepare meeting agendas, take minutes, and handle follow-up tasks.
  • Coordinate internal and external communications on behalf of the Executive.
  • Prepare confidential correspondence, reports, and presentations.
  • Oversee the day-to-day operations of the office to ensure a productive and efficient environment.
  • Serve as the main point of contact for all office vendors and service providers.
  • Manage office supplies, equipment, and facilities maintenance.
  • Develop and implement office policies and procedures.
  • Maintain and monitor the office budget, including expense tracking and reporting.
  • Review and approve office-related invoices and purchases.
  • Assist in annual budgeting processes and financial planning for administrative functions.
  • Supervise junior administrative staff, providing guidance, performance feedback, and professional development.
  • Delegate tasks appropriately and ensure timely execution of duties by junior staff.
  • Support recruitment and onboarding of new administrative hires.

Qualifications

  • Minimum 5 years of experience supporting C-level executives.
  • At least 2 years of experience in a supervisory or team leadership role.
  • Proven experience managing an office and office budget.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High degree of discretion and professionalism in handling sensitive information.
  • Proficient in Microsoft Office Suite and other business productivity tools.
