Monument Group has a current opportunity in our London office, based in the West End. We are looking for a part-time office manager and team assistant to join us for an initial period of 12 months. The role requires office attendance on Mondays, Tuesdays and Thursdays. We would particularly welcome applications from candidates seeking a part-time arrangement covering these core days. Working hours are 09:00-18:00 but occasional flexibility may be required.

This is a varied role with responsibility for a breadth of administrative areas including office management, reception duties and providing support to the London team.
The ideal candidate will have a pro-active outlook and at least 2 years’ experience in an office administration, office management or team assistant role. An interest in financial services would be advantageous but is not essential. This position offers the opportunity to become a key member of our close-knit London team while working closely with colleagues across North America and Europe. The successful candidate will play an important role in maintaining a professional and welcoming office environment and supporting the smooth day-to-day operation of a highly regarded international business.

RESPONSIBILITIES:
- Receptionist: welcoming and greeting clients, visitors, and suppliers; answering and directing calls, taking messages; preparing meeting rooms, refreshment arrangements / hospitality; dealing with post, courier / car bookings (ad hoc basis).
- Office Administration: daily office management – ensure smooth running of general office facilities (office supplies, office equipment / maintenance, liaising with cleaning contractor); setting-up and maintaining filing systems as works progress; maintaining accurate records and information within the firm's Salesforce CRM system; managing relationships with office suppliers and supporting contract renewal processes; key point of contact for building services to ensure quick resolution of any issue / complaints to the Building Manager / Landlord; assisting with ad hoc projects.
- Accounts: collating and organising invoices twice monthly; collating the team’s monthly expense claims to ensure they are processed in a timely manner; liaising with the London outsourced accountant and other offices on accounts.
- Investment Team Support: supporting senior members of the London team with administrative and organisational requirements; coordinating internal meetings, travel arrangements and conference attendance for the London and Amsterdam teams; assisting with formatting, printing, binding of presentations and documents.
- IT / Communications Trouble-shooting: acting as the primary London office contact for outsourced IT providers and assisting with day-to-day technology and telecommunications issues.
- Events: coordinating internal events (birthday celebrations, summer outings, team holiday party etc.); assisting with firm-hosted events such as roundtables, lunches, dinners and conferences.
ESSENTIALS:
- Experience: Minimum 2 years of experience in an office administration role; experience of working within the financial / professional services sector is preferable.
- Skills and Knowledge: Ability to communicate effectively with professionals at all levels (orally & written); strong organisational skills with the ability to prioritise competing demands; ability to manage multiple priorities and meet deadlines in a fast-paced environment; attention to detail; proficient in Microsoft Outlook (and experience of Word, Excel & Powerpoint); ability to learn new systems; high level of accuracy and attention to detail when maintaining records and systems; interest in financial services and willingness to develop knowledge of the private markets industry.
- Personal Characteristics: Self motivated and enthusiastic with a high personal standard of performance; flexible and reliable; ability to build effective working relationships with colleagues, clients, suppliers and external partners; professional and confident in representing the firm to clients, investors and visitors; able to think and plan ahead, using own initiative; proactive, resourceful and willing to take ownership of tasks and see them through to completion; calm approach with experience of a small busy office environment; ability to handle confidential information with discretion and professionalism; team player.
