A leading international law firm is looking to hire a Research Services Administrator to join its London-based Research Services team. This is a fantastic opportunity for someone who enjoys being the person who keeps everything running smoothly behind the scenes; organised, methodical, proactive, and genuinely proud of delivering high-quality administrative support.
The role will sit within a specialist research-focused function, supporting the wider team with a varied workload covering systems administration, database and portal maintenance, acquisitions support, and day-to-day operational tasks. You’ll be working closely with the Director of Research Services and the Research Services Manager and will play an important role in ensuring the team’s processes, resources, and systems are accurate, efficient, and up to date.
Day to day, you’ll be responsible for supporting the onboarding process for new joiners, as well as processing leavers, secondees and returners. You’ll help manage access to online resources, maintaining password lists and user details, and assisting with troubleshooting when colleagues across the firm experience access issues. You’ll also support the team’s internal systems, including password management tools, SharePoint portal pages and the library management system, ensuring information is properly maintained, standardised and recorded.
This position also includes a financial and acquisitions element, involving ordering and cataloguing new resources, monitoring subscriptions, resolving publisher/vendor issues, and processing invoices and monthly statements through the firm’s accounts system. There will also be hands-on operational support across departmental libraries, including shelving, circulation, stock-taking, resource weeding and updating looseleaf titles.
Alongside the administrative and systems responsibilities, you’ll occasionally handle basic research and current awareness requests from across the firm, such as UK and international company searches, and fulfilling book or article requests.
The successful candidate will be highly organised with excellent attention to detail, confident in prioritising multiple tasks, and comfortable working with people at all levels. The firm is looking for someone dynamic, proactive, and able to work both as part of a team and independently. Strong communication skills are essential, both in writing and in person.
