We are recruiting on behalf of a leading international bank seeking a proactive and organised Operations Assistant to join their team. This role is a fantastic opportunity for a quick-learning professional to gain broad experience across the entire spectrum of day-to-day corporate operations and administrative facilities management within a major banking environment.
Reporting to the Assistant Operations Manager and Head of Department, the successful candidate will handle essential postal services, stock management, office facilities support, and health & safety tasks. You will be instrumental in maintaining the smooth daily running of the branch and providing relief cover for department colleagues.
Key Responsibilities of the Operations Assistant include:
- Postal Management: Receive, open, and log incoming courier items; prepare, frank, and organize outgoing/bulk postings and special deliveries.
- Internal Distribution: Handle internal inter-section paper distribution, fax distribution, and daily/monthly statement enveloping and posting.
- Office Maintenance: Maintain the daily operation of office equipment (e.g., replacing printer parts/toners), empty dishwashers, and carry out small maintenance tasks as required.
- Supplies & Environment: Order and distribute stationery, check supplier invoices, manage document storage boxes, and maintain office/kitchen supplies (cleaning products, drinks, milk). Ensure meeting rooms are prepared and presentable.
- Facilities Liaison: Coordinate with maintenance contractors regarding branch premises and report issues to management.
- ESG & Data: Contribute to the Bank’s Environmental, Social, and Governance (ESG) aims, including the regular tracking and submission of statistics to Head Office.
- Risk & Compliance: Maintain strict adherence to the Bank’s risk management policies, internal procedures, compliance standards, and ethical code of conduct.
- Team Support: Assist the operations team with general project work, ad-hoc administration, procedure manual enhancements, and rigorous record-keeping.
Requirements for the successful Operations Assistant include:
