The role involves operational responsibility, requiring a candidate that is practical, hands-on, and comfortable working in a hospitality/event environment. The Weddings & Events Operations Coordinator plays a key role in delivering exceptional weddings and events across Montalto Estate. This is a hands-on operational position responsible for ensuring the seamless preparation, presentation, maintenance, and delivery of events within The Carriage Rooms and Montalto House. The successful candidate will work closely with team members involved in weddings, events, operations and maintenance to ensure venue standards are consistently maintained, operational requirements are met, and guests receive an outstanding experience.
Key Responsibilities
- Venue Operations & Event Delivery
- Coordinate venue set-up and breakdown for weddings, corporate events and private functions.
- Ensure all event spaces are presented to the highest standard before, during and after events.
- Support the operational delivery of weddings and events, acting as a visible and professional point of contact for clients, suppliers and guests.
- Assist with wedding and event close-down procedures, ensuring venues are secured and reset where required.
- Support venue management with the smooth running of events and operational requirements.
- Facilities & Presentation
- Conduct regular venue inspections and external walkthroughs to identify maintenance, repair and presentation issues.
- Maintain venue maintenance logs and coordinate completion of identified works.
- Carry out minor maintenance tasks including bulb replacement, furniture repairs and general upkeep.
- Maintain storerooms, operational storage areas and equipment rooms in an organised and efficient manner.
- Oversee presentation and maintenance of log stores, log baskets, outdoor furniture and operational areas.
- Coordinate deep-cleaning schedules for event and operational spaces.
- Bar & Operational Equipment
- Manage bar equipment including glass washers, ice machines and cellar operations.
- Monitor stock rotation and keg management to ensure operational readiness.
- Ensure bar and back-of-house areas remain clean, organised and compliant with operational standards.
- Health, Safety & Compliance
- Conduct routine fire alarm testing and maintain accurate records.
- Support compliance with health and safety procedures across all event venues.
- Monitor waste management areas, including skips, recycling facilities and glass disposal systems.
- Identify and report potential safety hazards, maintenance concerns and operational risks.
- Move furniture, equipment and event materials as required for venue operations.
- Assist with room turns, event changeovers and seasonal venue preparations.
- Coordinate delivery, storage and movement of operational supplies and equipment throughout the estate.
- Team Support
- Work collaboratively with those involved in weddings, events, hospitality, maintenance and grounds.
- Support the delivery of exceptional customer service and guest experiences at all times.
- Provide operational cover and assistance during peak trading periods and major estate events.
- Additional Responsibilities
- Liaising with external suppliers during event set-up and breakdown.
- Managing venue inventories and asset registers.
- Supporting seasonal projects and estate-wide events.
- Monitoring venue consumables and ordering operational supplies.
- Assisting with training of casual and seasonal event staff.
- Opening and closing responsibility for venues.
- Supporting sustainability and environmental initiatives across the estate.
