Job Description Summary:
To deliver accurate and efficient administrative coordination across the Equipment Preparation Centre, ensuring effective collaboration between Sales, Service, Rental, and Transport while maintaining control of WIP, costs, compliance, and customer service standards.
Job Description Key Responsibilities:
- Workshop & Refurbishment Administration
- Create, update and close all WIP records in a timely and accurate manner.
- Process and input engineer timesheets daily to maintain WIP integrity.
- Review timesheets, job sheets, and parts invoices to ensure cost control.
- Ensure all jobs are invoiced or closed in line with operational KPIs.
- Maintain accurate workshop diaries and job tracking systems.
- Operational Coordination
- Liaise with Sales, Service, Rental, and VSB teams to coordinate workflow and ensure operational alignment.
- Manage and coordinate the demo fleet, including arranging transport and providing full logistical support to ensure equipment availability, timely delivery, and readiness to support Sales and customer demonstrations.
- Coordinate transport movements for all equipment collections and deliveries across the preparation centre.
- Ensure smooth and efficient throughput of equipment across the preparation centre.
- Raise and manage purchase orders, ensuring accurate cost tracking and control.
- Administrative & System Support
- Maintain accurate filing systems for GRNs, delivery notes, and sales documentation.
- Review incoming documentation and ensure completeness and accuracy before processing.
- Support the preparation of viability cases (VCs) and job estimates.
- Maintain accurate team records relating to holidays, sickness, and absence tracking.
- Customer & Stakeholder Support
- Provide professional, timely, and accurate communication with internal and external customers.
- Ensure customer service expectations are met through responsive and accurate administrative processes.
- Resolve queries relating to workshop jobs, documentation, and operational activity.
- General Responsibilities
- Provide cover for colleagues during absence where required.
- Maintain office resources, stationery, and administrative supplies.
- Drive continuous improvement in administrative and operational processes.
- Undertake any other reasonable duties aligned to the role.
