The Nursery Administrator plays a vital role in ensuring the smooth day-to-day operation of the nursery. This position supports the Nursery Manager and staff through effective administration, record-keeping, communication, and compliance with statutory and organisational requirements.

Key Responsibilities- Administrative Support: Maintain accurate records of children’s attendance, staff rotas, and medical/emergency contact details. Manage nursery software systems (e.g., for invoicing, registers, child profiles). Handle enrolment enquiries and maintain waiting lists. Prepare reports and documentation for inspections, audits, or internal reviews.
- Finance & Invoicing: Track payments, chase outstanding balances, and liaise with parents regarding financial queries.
- Communication: Act as the first point of contact for visitors, parents, and external agencies. Draft newsletters, notices, and updates to parents and staff. Maintain effective internal communication between management and nursery teams.
- Compliance & Record-Keeping: Ensure compliance with GDPR and safeguarding protocols. Maintain staff and child records in accordance with Ofsted and local authority guidelines. Support preparation for Ofsted inspections or other regulatory visits.
- General Office Duties: Order and manage office and nursery supplies. Organise staff training schedules, DBS checks, and HR paperwork. Coordinate meetings and take minutes when required.
- Key Skills & Attributes: Excellent organisational and time management skills; strong verbal and written communication; proficiency in Microsoft Office and nursery management software; ability to work independently and as part of a team; confidentiality and professionalism.
- Qualifications and Experience: Food and Hygiene Level 2 (desirable); previous experience in an administrative role (essential); First Aid (desirable); experience within an early years or education setting (desirable); knowledge of Ofsted and EYFS requirements (advantageous); DBS clearance required (or willingness to obtain); familiarity with childcare regulations and safeguarding procedures (desirable).
