Where we need your help

The People & Talent Coordinator role is an exciting opportunity to primarily help our People & Culture team deliver best in class support to all our staff across the globe, as well as supporting Talent Acquisition. Based in London with the rest of the People & Culture team, your role will involve supporting Team MV across the globe, with employee populations in the UK, Singapore, Hong Kong and North America. Our employees are based in offices (London & Norfolk), remotely, at our distribution centre (Acton) and in our boutiques and concessions, with a current headcount of just over 400 people. No two days will be the same as we strive for every candidate and employee’s experiences with us to be truly exceptional. The Coordinator role is a crucial part of our team. This person’s attention to detail, ability to prioritise their workload and pride in delivering high quality work are the foundation that allows our team to operate at its best.

What you’ll do

  • People & Culture Coordination
    • Administering the employee lifecycle in our HRIS (Bob) and ensuring the data in our People systems is accurate and up to date
    • Managing the People & Culture Service Desk, being the first line of response or escalating as required
    • Supporting processes during the full employee lifecycle, from offer and induction through to offboarding, always providing an exceptional experience to our employees
    • Extracting and manipulating reports from our people management systems
    • Identifying and exploring opportunities for process improvement across the employee lifecycle
    • Supporting the Company’s wellbeing initiatives, including work relating to our quarterly Pulse Check and collating communication materials to share with the business on a regular basis
    • Managing the allocation of various benefits and initiatives throughout an employee’s time with us, including recognising milestones and celebrations
  • Payroll Coordination
    • Ownership of the global payrolls (UK, USA, Canada, Hong Kong & Singapore), with support from the team
    • Collating reports from our People systems and time & attendance platform (Deputy) to ensure correct data is included in each payroll
    • Creating and administering documentation for pay or contractual changes, ensuring that information is correct across all touchpoints and that audit trails can be readily sourced for any change
    • Working in partnership with the People & Culture and Finance teams to maintain global payroll accuracy
    • Maintaining a strong relationship with external stakeholders, being the first point of contact for queries
  • Talent Acquisition Support
    • Working with the Talent Acquisition Partner to get our vacancies advertised on the right channels, internally and externally, using our Applicant Tracking System (ATS, TeamTailor)
    • Scheduling interviews and tasks for candidates
    • Supporting recruitment for our busy peak period
    • Extracting reporting data from TeamTailor
  • Office Coordination
    • Serving as a point person for visitors to the London office
    • Proactively keeping our offices fully stocked with kitchen supplies, stationery, toiletries and other incidental items
    • Being part of the Health & Safety Committee as a representative for the London office
    • Supporting with the coordination of team lunches, activities, celebrations and gifting
    • Responsible for tracking and submitting expense reports for the team credit card
  • Adhoc Project Work
    • Getting involved with project work such as policy review, training delivery, system delivery and upgrade

Travel Requirements

You may be required to travel within the UK from time to time, including to our Norfolk office, Acton warehouse or our Retail locations.
