Job Purpose: The IVA MOC Administrator provides essential administrative support to the Pre-Appointment Department, ensuring the smooth and efficient progression of IVA cases through to approval. The role is responsible for convening Meetings of Creditors (MOCs), ensuring they are conducted effectively and in line with regulatory requirements. They will also support the preparation of cases prior to approval by maintaining accurate records, managing key systems and ensuring all pre-appointment administrative tasks are completed in a timely manner.

Key Responsibilities:

  • Convene Meetings of Creditors ensuring they are conducted in line with internal processes, regulatory requirements and service standards.
  • Manage and maintain the POD dashboard ensuring all case information is accurate, up to date, and correctly recorded.
  • Support the Pre-Appointment Department with tasks such as chasing outstanding IVA Proposals, dealing with bank change requirements and other administrative tasks.
  • Manage the MOC email inbox, ensuring all queries, documentation and correspondence are reviewed, actioned, and correctly filed in the relevant case folders.
  • Support the IVA department with overflow inbound calls, providing accurate information and directing queries appropriately.
  • Ensure all administrative records are maintained accurately and in line with internal procedures and compliance requirements.

Compliance:

  • Ensure all activities are carried out in line with relevant Insolvency legislation, regulatory requirements and internal policies.
  • Maintain full adherence to Data Protection Act (DPA) and GDPR requirements in all handling of customer and case information.
  • Follow all internal procedures relating to IVA case administration and MOC processes.

Quality Oversight:

  • Ensure all MOC’s are convened, recorded and completed accurately and in accordance with required standards.
  • Support internal checks and quality processes by ensuring documentation is correctly stored.

Reporting:

  • Provide updates on outstanding tasks, any blockers and inbox volumes where required.
  • Highlight recurring issues within the MOC process to support continuous improvement.

What skills and experience do we need you to have?

  • Experience working within the insolvency or debt management industry, ideally with exposure to IVA administration processes.
  • Familiar knowledge of the Meeting of Creditors (MOC) process.
  • Proven ability to manage multiple cases, inboxes, and stakeholders while maintaining accuracy and deadlines.
  • Strong organisational and time-management skills, with experience working in a fast-paced, high volume environment.
  • Ability to communicate effectively with internal teams and external stakeholders in a professional manner.
