Events Specialist, EMEA – London

Moelis & Company is seeking an Events Specialist to contribute to the planning and execution of the firm’s client events, sponsorships, internal events, and deal-related gatherings across EMEA and APAC. Based in the London office, you will work closely with an Events Assistant Vice President on end-to-end event delivery, from vendor negotiation through onsite execution, while partnering with the rest of the global events team led out of the US.

You’ll collaborate closely with Corporate Services, Human Capital Management, and Marketing & Communications on a high-visibility team with direct exposure to senior bankers, clients, and employees around the globe.

Key Responsibilities & Tasks:

  • End-to-end coordination of events and sponsorships — from meetings and management presentations to closing events, sporting events, and client entertainment — ensuring each is well-executed and accurately reported
  • Vendor sourcing and management, including restaurants, hotels, meeting rooms, and catering
  • Invitation development and RSVP tracking
  • Program specifications: room setups, AV requirements, catering
  • Production of printed materials (signage, name badges, place cards)
  • Onsite delivery for London-based events and programs, including site visits
  • Post-event tasks including budget reconciliation and logging feedback
  • Regional event budget management and reporting for EMEA and APAC
  • Partner with Corporate Services on internal special events and pop-ups
  • Coordinate with Corporate Communications on internal and external event marketing
  • Work with Human Capital Management on internal and recruitment events
  • London-based Corporate Social Responsibility initiatives, including generating new project ideas
  • Manage team administrative work including monthly budget reconciliation

Qualifications:

  • 2–3 years of experience in events and/or administration, ideally in financial or professional services
  • Strong proficiency in MS Outlook, Word, Excel, PowerPoint, and Adobe PDF; experience with Cvent or a comparable events platform is a plus
  • Highly organized, detail-oriented, and able to manage multiple events and budgets simultaneously
  • Excellent written and verbal communication skills
  • Sound judgment and discretion handling sensitive and confidential information
  • A proactive, self-starter approach
  • Flexibility to work outside typical office hours as needed to support events
