Mode Search is supporting a luxury goods client in the search for a Procurement Administrator to join their production and operations function. This opportunity will play an important role in supporting the management of raw materials and specialist inventory, ensuring smooth product flow across the production lifecycle while maintaining stock accuracy, quality standards, supplier relationships, and operational efficiency. This is a full-time position based in London five days per week. The role sits within the production team and reports directly to the Head of Production, working closely with internal stakeholders across production, procurement, stock control, finance, and external supplier networks.
The Role
- Manage the intake, booking and recording of incoming raw materials and specialist inventory, ensuring accurate stock updates within agreed timeframes.
- Maintain inventory accuracy and oversee stock movements to ensure full traceability and compliance across internal systems.
- Partner with production and stock teams to investigate discrepancies, reconcile stock levels and monitor material pricing.
- Coordinate the movement of materials requiring external processing, certification, quality assessment or specialist services.
- Liaise with logistics providers and external partners to ensure efficient handling, timely delivery and minimal disruption to production schedules.
- Monitor shipments and provide regular status updates to internal stakeholders.
- Support supplier management activities including material availability, lead times, pricing discussions and delivery schedules.
- Raise purchase orders and process supplier documentation in line with procurement requirements.
- Maintain detailed records relating to stock movements, processing activities, certifications and returns.
- Produce reports covering inventory levels, shortages, operational updates and pricing variances.
- Support the management and organisation of technical and certification documentation.
- Carry out quality checks on incoming materials to ensure specifications and standards are met.
- Identify discrepancies and work with suppliers and internal teams to resolve issues.
- Organise and categorise inventory according to value, specification and production requirements.
- Process invoices relating to suppliers, external service providers and inventory activity.
- Work closely with finance teams to support payment processes, reconciliations and budget alignment.
- Assist sourcing activity and support purchasing decisions in line with production demands and strategic objectives.
- Provide wider administrative and operational support across production and procurement teams as required.
- Support ad hoc projects and process improvement initiatives.
Requirements
- Minimum of 5 years’ experience within procurement administration, stock control, supply chain or inventory management environments.
- Previous experience working within luxury, high-value product, manufacturing, jewellery or premium goods sectors would be advantageous.
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with experience liaising across suppliers and internal teams.
- High attention to detail with strong accuracy in record keeping and data management.
- Confident using procurement systems, ERP platforms, Excel and reporting tools.
- Degree qualification in Business, Supply Chain Management or a related field is beneficial.
- Additional language skills would be advantageous.
- Knowledge of quality assurance processes, inventory control and pricing principles is desirable.
- Strong analytical and problem-solving skills with the ability to manage supplier and stock-related challenges.
- Commercial awareness with experience supporting sourcing activity and procurement decisions.
