Job Description
Mode Search is partnering with a globally renowned luxury lifestyle brand in search of a highly organised, proactive, and experienced Office Manager / Personal Assistant to support their UK Managing Director. This is an exciting opportunity to work at the heart of a pioneering luxury business, known for its eclectic, enchanting, and joyful collections.
Based at their Central London head office close to Soho, this is a full-time, office-based role where you will oversee the smooth running of all office operations while providing executive-level support to the MD. This is a hands-on, dynamic role that combines organisational excellence, operational management, and personal assistance in a fast-paced, luxury environment.
The Role:
- Serve as first point of contact at reception of the building for visitors, managing calls, emails, and appointments.
- Oversee and maintain all aspects of the office, including facilities, equipment, communal areas, and supplies.
- Plan, organise, and coordinate meetings, boardroom setups, and internal events.
- Organise travel, hotel, and restaurant bookings for the senior team and MD.
- Manage office budgets, identify cost-saving opportunities, and ensure expenses remain within limits.
- Support onboarding of new staff and maintain high standards of workplace health and safety.
- Act as the key contact for contractors, IT providers, and security, ensuring smooth operations.
- Support the MD with diary management, personal requests, and ad hoc administrative tasks.
- Coordinate CSR projects, office events, and staff gifting programs.
Requirements:
- Proven experience in office management or executive assistance, ideally in a luxury or high-profile environment.
- Strong organisational, time-management, and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently, anticipate needs, and remain flexible in a fast-paced environment.
