Role Description

This is a full-time, on-site Patient Coordinator role based in Manchester.

The Patient Coordinator will be responsible for managing patient inquiries via phone, email, and digital channels, providing accurate information about services, and scheduling consultations and follow-up appointments.

The role includes maintaining up-to-date patient records, supporting end-to-end patient journeys, and coordinating with clinical and administrative teams to ensure a smooth and professional experience.

Daily tasks involve handling leads, performing reminder and follow-up calls, supporting ethical sales pathways, and ensuring all interactions comply with relevant regulations and clinic policies.

The Patient Coordinator will also contribute to service improvement by gathering patient feedback, identifying process issues, and working closely with colleagues and clients to optimize patient care and clinic performance.

Qualifications

  • Strong patient-facing and customer service skills, including clear communication, active listening, and a professional, empathetic approach.
  • Experience with appointment scheduling, call and lead handling, and managing end-to-end patient or client journeys within healthcare or a similar sector.
  • Solid administrative and organizational abilities, including accurate data entry, record-keeping, and familiarity with practice management or CRM systems.
  • Understanding of ethical healthcare practices, confidentiality requirements, and compliance with relevant regulations and clinic policies.
  • Ability to work collaboratively with clinical and non-clinical teams, manage multiple priorities, and maintain attention to detail in a fast-paced environment.
  • Prior experience as a patient coordinator, receptionist, or in private healthcare, aesthetics, or related fields is highly beneficial.
  • Relevant training or qualifications in healthcare administration, customer service, or a comparable discipline are an advantage.
