The Contract / Bid Manager (CM) serves as the Single Point of Contact (SPOC) within each Business Unit (BU), overseeing the complete bid and contract lifecycle. This includes all phases from opportunity qualification, through tender submission, negotiation, delivery, governance, renewals, to managing change requests and amendments. Each CM is assigned to support either a specific BU or a small, clearly defined cluster of BUs. Allocation of CMs is determined by linguistic requirements, business size, tender volume, and the complexity of operations. All CMs report directly to the Legal department.

About the Role

Working closely with legal, commercial, and operational functions, the CM role emphasises deal strategy, coordination of pricing, assessment of risks, and ensuring submissions are both competitive and compliant. This position is ideal for individuals with a strong business focus who excel in collaborative, cross-functional team environments. As a CM, you will work extensively with Sales, Operations, Finance, Product, and Legal teams, acting as the central coordinator for all commercial and contract-related activities within your assigned BU or business cluster.

Location & Working Model

We have 3 roles. One based in the UK/Ireland, one in Singapore/Dubai, and one in the Nordics with flexible or hybrid working options depending on the entity. Occasional travel may be required to support training, negotiations, or cross-entity coordination.

Responsibilities

  • Lead the commercial workstream for RFP, RFI, and RFQ responses by coordinating input from Sales, Delivery, Finance, and Legal teams.
  • Prepare and maintain essential bid and contract documentation, including bid outlines, approval presentations, contract summaries, and risk assessments.
  • Draft, review, and negotiate a range of contracts (vendor, customer, service agreements, assignments/novations, NDAs), under Legal Counsel supervision.
  • Manage contract modifications, amendments, extensions, renewals, and ensure all necessary approvals and proper documentation are in place.
  • Coordinate pricing inputs, align with financial models and margin targets, and ensure compliance with governance requirements.
  • Develop bid strategies, including win themes, differentiators, and customer communication; prepare and submit bidder questions and propose amendments to tender terms.
  • Oversee submission processes, ensuring proposals are both compliant and competitive; prepare required tender documentation (criminal records, commercial register excerpts, eligibility criteria) with version control.
  • Negotiate terms, coordinate approval related to bonds, bank guarantees, and parental guarantees as required by tenders.
  • Prepare negotiation strategies, lead commercial, legal, and technical discussions with customers, partners, and subcontractors, and collaborate with Legal on high-risk or complex matters.
  • Support contract kickoff and handover activities, including scope confirmation, billing readiness, and delivery milestones.
  • Review and track service level agreements (SLAs) and delivery obligations throughout the contract lifecycle.
  • Monitor contract performance, renewal timelines, and change requests; support renegotiation of terms, ensure correct price adjustments (including CPI), and execute cash collection processes.
  • Maintain organized contract records with accurate filing, version control, and comprehensive lifecycle tracking.

Stakeholder Coordination

  • Serve as the main contact for Legal, Sales, Finance, and Delivery teams on contracts and bids.
  • Clarify responsibilities, commercial guidelines, and escalation processes.
  • Prepare management briefings and contract materials, including risk assessments.
  • Align contract support with business goals and partner effectively across departments.
  • Address business challenges with contract management solutions and offer expertise to leaders.
  • Update stakeholders on relevant legislative or contract changes.
  • Ensure staff understand their legal contract responsibilities.
  • Assist sales teams with contract needs and integration activities.

Process & Governance

  • Ensure all bids follow internal approval workflows and comply with financial governance requirements.
  • Maintain comprehensive contract and tender repositories, dashboards, and key performance indicator (KPI) tracking.
  • Contribute to the continuous improvement of proposal and offer templates, pricing tools, and contracting playbooks.
  • Provide early warnings of potential issues to avoid surprises, execute agreed contract management strategies, and escalate issues as necessary.

Qualifications

  • Bachelor’s degree in Business, Economics, Commercial Management, Law, or a related field.
  • 3-6 years of experience in bid management, commercial project management, or contract administration.
  • Professional certification in contract management is desirable but not mandatory.

Required Skills

  • Strong understanding of commercial modeling, pricing structures, and margin drivers.
  • Experience with public procurement rules; familiarity with EU, UK, Norway, Switzerland, Middle East regulations is advantageous.
  • Excellent project management and coordination skills and strong negotiation and communication abilities.
  • Ability to collaborate with cross-functional stakeholders in fast-paced environments.
  • Proficiency in Microsoft Office (Excel and Word are essential), SharePoint, and CLM tools.
  • Language skills appropriate for the assigned region.
  • Ability to prioritise and manage multiple contracts and tasks simultaneously.
  • Highly organized, structured, and delivery-focused.
  • Strong commercial acumen and analytical mindset.
  • Expertise in contract drafting, review, and negotiation principles.
  • Confident communicator, capable of leading discussions with senior stakeholders and customers, comfortable working independently while escalating when appropriate.
  • Proactive and solution-oriented.
  • Ability to influence without authority and drive consensus across functions.

Reporting Line

The Contract / Bid Manager reports to the Legal Counsel, with matrix support from either the Commercial Director or the Head of Bids & Contracts, depending on the organizational structure, and from local Finance as required.
