The Contracts Supervisor is responsible for overseeing the day‐to‐day delivery of FM contracts, ensuring services are delivered safely, efficiently, and in line with contractual obligations and KPIs. This role acts as the key link between clients, suppliers, engineers, and internal teams, ensuring high service quality, compliance, and continuous improvement across allocated sites.
Key Responsibilities
- Contract Delivery & Performance
- Supervise the operational delivery of FM services across assigned contracts, ensuring compliance with service-level agreements (SLAs) and key performance indicators (KPIs).
- Monitor planned maintenance (PPM) and reactive works to ensure timely completion and high-quality standards.
- Conduct site inspections and audits to ensure contract requirements, safety standards, and quality guidelines are met.
- Client & Stakeholder Management
- Act as the main point of contact for clients, providing regular updates and managing expectations.
- Build strong professional relationships, ensuring customer satisfaction and proactive issue resolution.
- Team Supervision
- Oversee engineers, subcontractors, and service teams, ensuring effective scheduling, performance, and resource allocation.
- Conduct toolbox talks, briefings, and coaching to ensure safety and productivity.
- Compliance & Health and Safety
- Ensure all activities are delivered in accordance with company policies, statutory regulations, and industry best practices.
- Assist with risk assessments, method statements (RAMS), and H&S documentation.
- Investigate incidents, near misses, and non-conformance issues and implement corrective actions.
- Financial & Commercial Support
- Assist in monitoring contract budgets, costs, and resource usage.
- Review subcontractor quotations and support procurement processes where needed.
- Identify opportunities for service improvements and cost efficiencies.
- Reporting & Administration
- Maintain accurate records of all works, inspections, and communications.
- Produce regular operational performance reports for internal and client stakeholders.
- Ensure CAFM systems (e.g., Concept, CAFM Explorer, Planon, Maximo) are kept updated at all times.
Skills & Qualifications
- Experience in facilities management, building services, or contract supervision.
- Strong understanding of PPM, reactive maintenance, and FM operational processes.
- Excellent communication and stakeholder management skills.
- Strong organisational and problem‐solving abilities.
- Working knowledge of CAFM systems.
- Sound understanding of Health & Safety regulations (e.g., IOSH/NEBOSH desirable).
Desirable
- Technical background in mechanical, electrical, or building maintenance.
- Experience managing subcontractors or service delivery teams.
- Full driving licence (if role requires travel).
