MJ Quinn is looking for a proactive and detail‑driven Fleet & Claims Administrator to join our busy Fleet department. This is a fantastic opportunity for someone with strong administrative skills who thrives in a fast‑paced environment and enjoys working with a wide range of internal teams, suppliers, and external agencies.
In this role, you’ll play a key part in keeping our fleet operations running smoothly—maintaining accurate vehicle records, supporting compliance processes, coordinating maintenance, and assisting with insurance and claims administration. What You’ll Be Doing
- Maintaining accurate vehicle records across digital and paper systems.
- Supporting day‑to‑day administrative tasks within the Fleet department.
- Managing the shared Fleet inbox and handling telephone enquiries professionally.
- Ensuring timely data entry and updates within the CRM system.
- Managing vehicle allocations, movements, and returns.
- Raising and processing purchase orders for fleet‑related costs.
- Administering fines and charges, including logging cases and supporting re‑charge processes.
- Liaising with suppliers to arrange vehicle servicing, repairs, and maintenance.
- Coordinating with office and field staff on fleet queries.
- Processing Notices of Intended Prosecution (NIPs).
- Assisting with insurance claims, vehicle damage documentation, and recharges.
- Managing fuel cards, including issuing, updating records, and monitoring usage.
- Administering motor insurance, renewals, and claims.
- Logging and tracking fleet incidents such as accidents, damage, and near‑misses.
What We’re Looking For
Essential
- Previous administrative experience, ideally within fleet, transport, logistics, or operations.
- Strong record‑keeping skills and confidence handling large volumes of data.
- Good working knowledge of Microsoft Office (Excel, Outlook, Word).
- Confident communicator via phone and email.
- Experience using CRM systems or fleet management software.
- Understanding of basic fleet administration (servicing schedules, fuel cards, documentation).
- Ability to manage multiple tasks with excellent attention to detail.
- Strong written and verbal communication skills.
- Good IT skills and ability to learn new systems quickly.
Desirable
- Experience administering fuel cards.
- Familiarity with processing fines, recharges, and NIPs.
- Understanding of vehicle compliance (MOT, tax, insurance, DVLA processes).
- Experience raising purchase orders.
- Previous coordination with suppliers for vehicle maintenance.
- Experience with motor insurance administration and claims handling.
- Knowledge of incident reporting and investigation processes.
