Our Executive Assistants provide administrative support to a team of 3-4 senior Bankers across Managing Directors, Directors and Vice Presidents plus support to their junior teams and may work across a variety of sectors. A busy role that requires a calm, professional and precise individual who enjoys taking ownership of their role. This person will be the gatekeeper for their team and must demonstrate good judgement, discretion and proactivity. The person must also show a willingness to contribute to the wider firm and be keen to support ad-hoc initiatives or implementation of new procedures or policies.

Hours: Office hours are 9am – 5.30pm, Monday – Friday but some flexibility will be required.

Holiday: 25 days per annum, plus Bank Holidays

Salary: £58,000 pa. Discretionary annual bonus, 12% pension contribution and attractive benefits package, including private medical care.

The Executive Assistant will be primarily responsible for:

  • Extensive and often complex diary management (using Outlook)
  • Extensive UK and overseas travel and meeting arrangements, frequently last minute and occasionally complex
  • Processing of business expenses using Concur
  • Adhering to all applicable internal policies and processes
  • Professional telephone service – answering, message-taking, hosting conference calls VC’s and cover
  • Correspondence, photocopying, filing and ad hoc administrative tasks
  • Ad-hoc management of bankers’ contacts
  • Dealing with confidential documentation and correspondence
  • Producing and updating documents in Office applications (PowerPoint, Excel and Word)
  • Developing relationships with peers at client firms, and other internal EA’s
  • Various ad-hoc duties and personal requests/support for the Seniors
  • Supporting with occasional internal cover for other Executive Assistants

Knowledge & Experience

  • Considerable proven experience supporting busy executives at this level, ideally but not essentially within financial services
  • Experience managing diaries and itineraries for multiple team members who regularly travel
  • Proficient with Microsoft applications
