Role Overview
The Recruitment Administrator is a key support role on our busy temporary recruitment desk. Reporting to our Delivery Director and working closely with our recruiters, you will take ownership of much of the administration that keeps payroll, temporary workers, candidates, clients, compliance, and day to day desk activity running smoothly. This is a fast paced, varied role for someone who is highly organised, accurate, proactive, and comfortable managing several priorities at once. By taking control of the administrative burden, you will allow our recruiters to spend more time speaking with candidates, supporting clients, and winning new business. Previous recruitment experience is not essential; we are equally interested in strong administrators from other fast paced environments.
Key Responsibilities
- Payroll and Temporary Worker Support
- Support the weekly payroll process for our temporary workforce, ensuring information is complete, accurate, and submitted on time.
- Check and chase timesheets, verify hours and pay rates, and resolve discrepancies quickly.
- Handle pay, holiday, and payroll queries from temporary workers and liaise with payroll where required.
- Manage absence calls, worker availability, and other assignment queries.
- Maintain accurate temporary worker and assignment records so the desk remains organised and compliant.
- Candidate and Compliance Administration
- Apply for and chase candidate references, keeping recruiters updated on outstanding information.
- Complete right to work, compliance, and registration administration accurately and in line with internal processes.
- Support candidate onboarding, including documentation, assignment information, and first day readiness.
- Prepare and manage assignment confirmations and other candidate documentation.
- Keep candidate records and CRM information accurate, complete, and up to date.
- Client and Desk Support
- Answer incoming telephone calls confidently and deal with routine candidate, worker, and client queries, with full training provided.
- Act as a reliable day to day point of contact for clients on attendance, availability, timesheets, and general temporary staffing queries.
- Support recruiters with vacancy, candidate, and client administration to keep activity moving at pace.
- Identify issues early, take ownership where possible, and escalate appropriately when additional support is required.
- Lead Generation and Commercial Support
- Research companies, vacancies, and market activity to identify potential new business opportunities.
- Identify relevant hiring managers and decision makers and build accurate prospect lists.
- Spot recruitment opportunities through inbound calls, client conversations, online research, and day to day market activity.
- Pass qualified leads and useful market information to our recruiters so they can follow up commercially.
- General Administration
- Maintain accurate CRM records and ensure key candidate, client, and assignment information is consistently updated.
- Support the wider recruitment team with administration and operational tasks as priorities change.
- Look for ways to improve organisation, efficiency, and the overall service provided to candidates and clients.
Skills and Experience

- Commercially aware, curious, and able to recognise information that could represent a business opportunity.
- Confident using Microsoft Office and learning new systems and technology.

- Previous experience supporting payroll, timesheets, compliance, onboarding, or high volume administration.
- Experience using a CRM or database and maintaining accurate records.
