Overview

Purpose of Role: To deliver a high-quality workplace experience across two key client sites, ensuring smooth operational delivery, exceptional service standards, and stakeholder satisfaction. The role demands a proactive, flexible approach to facilities coordination and customer engagement, working closely with internal teams, suppliers, and client stakeholders to maintain a professional, efficient, and welcoming environment.

Responsibilities

  • Conduct daily floor walks, workplace audits, and quality control checks across customer-facing spaces and report all faults found through CAFM system reporting, following through to resolution.
  • Oversee workplace storage solutions and manage building furniture inventories.
  • Act as the liaison between on-site stakeholders and the Facilities Management (FM) team.
  • Prepare and distribute stakeholder communications as needed.
  • Lead and support minor FM works projects, from reviewing quotes to execution and snagging.
  • Assist with delivery of larger workplace projects including stakeholder coordination, contractor management, RAMS submission, approvals, and drawing updates.
  • Coordinate and support internal site events and VIP visits to ensure a seamless experience.
  • Support periodic service reviews to identify improvements and potential cost savings.
  • Coordinate DSE assessments and action workplace adjustments as required.
  • Promote and uphold health and safety procedures, fostering a culture of safety awareness across both sites.

Skills, Experience & Qualifications

Essential:

  • Proven experience in a facilities, workplace, or customer service coordination role.
  • Strong interpersonal and communication skills – confident liaising with all levels of staff and contractors.
  • Proactive, self-motivated, and capable of working independently across multiple locations.
  • Competent with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Organised, detail-oriented, and able to manage competing priorities across two sites.

Desirable:

  • Health & Safety qualification (e.g. IOSH).
  • Experience supporting or managing workplace/facilities projects.
