The predicted salary is between 36000 - 60000 £ per year.
To provide Facilities Management control and support to school sites to ensure that they operate efficiently and effectively to achieve and maintain full contractual and statutory compliance.
Provide support to the Account Manager in the management and delivery of contractual obligations and client expectations. Monitor and report on Service Delivery performance monthly or as requested by the client. Ensure budgets are managed and utilised effectively to achieve overall contract profitability whilst providing the schools the best service.
Main Duties
- Manage and support teams in the operational delivery of the contract requirements and services delivery in line with MITIE's values and standards.
- Provide guidance to the site teams in delivering the SLAs in a timely manner and in accordance with the Facilities Management Agreement and Project Agreement.
- Ensure controls are in place including audits to monitor the management and delivery of the services provided by MITIE and their subcontractors.
- Ensure appropriate contract administration and record keeping is maintained and audit records during regular site visits.
- Ensure effective programming of planned preventative maintenance, projects and lifecycle works with minimal impact on school users.
- Establish and maintain appropriate subcontract arrangements using MITIE's subcontract documentation and ensure performance reviews are undertaken.
- Liaise with the Account Manager on procurement, variations, and contract changes within the allocated Contract(s) to maximise value for money.
- Ensure compliance of all Health & Safety Legislation and procedures and assist and support audit processes.
- Maintain an interface with the client(s) on Health & Safety issues (completion of joint plans), policies and procedures.
- Liaise and work closely with the support functions and specialists in co-ordinating and assisting in their input into the Contract(s).
- Support the Business Development Team with reference to visits and operational material to demonstrate MITIE's World Class Service.
- Conduct Team Meetings to agreed frequencies and attend all contractual meetings required by the Account Manager.
- Produce monthly and ad hoc reports, collating and validating data and documentation.
- Provide regular and effective feedback to Account Manager on the performance management of the contract(s) for all aspects of service delivery, staff management and legal compliance.
- Act as the Authority/SPV point of contact and liaise with school representatives at regular and ad hoc meetings.
- Carry out monthly 5% helpdesk job validation to ensure correct and appropriate completion, documentation submission and quality of works.
- Validate/monitor additional hours requested by the schools ensuring accurate records are maintained and submitted in a timely manner.
- Investigate and close out complaints and address underlying issues accordingly.
- Assist in the issue of and collation of customer satisfaction surveys to ensure maximum returns achieved.
- Carry out Authorising Persons or Responsible person's duties as necessary in line with competency levels.
- Review damage jobs to assess the cause, obtain approval signatures and maximise cost recovery across all schools.
- Deal with day-to-day staff management issues i.e., recruitment, discipline and development of the site(s) based staff as well as carrying out assessments/appraisals, capability, and grievance issues.
- Responsible for the appropriate selection, recruitment, management, training, and retention of staff in line with MITIE's HR policy and procedures.
- Development of MITIE people and succession plans for the contract within the management of the role.
- Ensure access is provided for contractors and the contractors are always escorted if relevant DBS clearance is not available.
- Ensure all Safeguarding Policies are always adhered to and raise any concerns in line with the Mitie policy.
- Maintain confidentiality of sensitive information.
- To undertake any other related duties which are within the job holder's capability, according to the needs of the business.
What we are looking for
- A good general education with a relevant qualification aligned to Facilities Management, and a demonstrable record of continuous personal development within the industry.
- Proven experience of PFI contracts to include experience of education contracts and excellent all-round knowledge in a complex environment.
- Demonstrable success in a similar service environment and capable of delivering compliance in line with contract requirements.
- Proven experience of establishing stakeholder relationships and achieving sustained operational success.
- Ability to quickly build credible relationships with a management team and clients, and challenge when necessary.
- A detailed operational understanding of utilities and lifecycle management.
