Location: Hybrid role, mix of home working and office based. One design coordinator based in the North office (Scunthorpe) and one in the South office (Olney). May be requested to attend site meetings on very rare occasions, ordinarily home/office based.

Job Summary:

  • We are seeking a detail-oriented and organised Design Administrator.
  • Client name and details are correct and consistent.
  • Project name is consistent.
  • Revision details are updated and correct.
  • Spelling is correct.
  • All drawings/documents have been through a check and approval process prior to issue.

Responsibilities:

  • Collaborate with cross-functional teams including business development, contributing towards the production of project profiles/case studies for marketing purposes on completion of a project.
  • Manage project assumptions and exclusions register and hold regular review meetings.
  • Day to day management of the design change management process.
  • Weekly/Monthly Reporting:
  • Compile a monthly design progress report for each project, pulling information through from the designers on: progress against plan, risks and opportunities, issues and solutions implemented, RAG status.
  • Feed information from these reports back to the design delivery manager and project planner.
  • Management of External Suppliers:
    • Work with the procurement team to chase external suppliers for information to allow the timely progression of the design.
    • Track progress of design tasks and deliverables, identifying potential roadblocks early and reporting upstream.
  • Non-Technical Quality Management:
    • Undertake non-technical quality management checks on all documentation leaving the business to ensure consistency.
    • Maintain a suitable database of document checks and approvals.
    • Undertake monthly non-technical quality audits on a random sample of projects.
    • Assist in the maintenance of an organised project filing system and database for managing the flow of drawings and documents in accordance with the company NERS accreditation, managing both incoming and outgoing documents, document revisions, version control and transmittals.
    • Ensure all design outputs meet quality standards and brand guidelines.
    • Manage a database for design document review and approvals.
    • Assist the wider team with the regular external audits from Lloyds as part of the businesses NERS accreditation.
