This post provides and facilitates the administration and support service to meet the requirements of administration and office in HMS Sultan as required by the HESTIA contract.
Main Duties
Primary Job Purpose: To provide an administration support service to the Executive Department and relevant personnel in HMS Sultan in the pursuit of successful and timely delivery, ensuring that all tasks are conducted in accordance with current MoD regulations.
Responsibilities (tasks include, but are not limited to):
- Facilitate a prompt and effective response to the daily Establishment requirements directed to the Executive Department, notifying appropriate personnel where required.
- Compile and maintain the Establishment Diary, attending appropriate planning meetings and sourcing relevant information to ensure continuity and accuracy.
- Coordinate, compile and prepare for timely release HMS Sultan Daily Orders & fortnightly newsletter.
- Provide a focal point for the preparation and maintenance of HMS Sultan Temporary Memorandum, reviewing content for clarity and accuracy and prepare for authorised release.
- Coordinate the Executive Department Stationery demand.
- Maintain the Function Request database and liaise with relevant stakeholders to ensure event authorisation.
- Become familiar with and provide absence cover for the Commanders Assistant and Commanding Officers PA.
- Carry out any other tasks as determined by the Mitie Line Manager.
- Actively promote a safe working culture within your area thus ensuring that there are no reportable accidents to all staff, contractors, customers, or any visitors to your department that are attributable to your negligence or failure to adhere to Health and Safety procedures, processes, and the law.

In addition, the individual will be versatile, intuitive, and professional with good judgement and absolute integrity. Pro-active and persuasive when required and responsive to changing needs of the business and demands of the customer, while remaining calm under pressure and self-motivated, the incumbent will be reliable and well presented, giving a positive image of MITIE company values.
In addition, the following is needed:
- Administration experience with excellent organisational, time-management and motivational skills and a high degree of integrity and confidentiality.
- Proven track record of delivering quality administration support at management level and ability to work unsupervised using own initiative.
- Persuasive and credible verbal and written communicator with the ability to develop close working relationships.
- IT literate with a good working knowledge of MS Office applications.
- Good standard of education.
Additional Information
MOD security clearance and DBS Standard required. To meet national security vetting requirements, you will normally need to have been resident in the UK for at least 3 years to gain a Counter Terrorist Check, 5 years for Security Clearance and 10 years for Developed Vetting prior to the date of application. All Developed Vetted posts are required to be UK Nationals. Proof of right to work in UK essential.
The Contract operates a 37.5 hour working week between the hours of Mon to Fri only. The current working hours allow for an early finish on a Friday. Required to wear approved company work wear.
