Job Overview
The Receptionist / Facilities Support role serves as the first point of contact for visitors while supporting the day-to-day operations of the workplace. This position ensures a professional front-of-house experience and assists with facilities coordination to maintain a safe, organized, and efficient office environment.
Main Duties
- Greet all visitors, staff, and contractors professionally, ensuring compliance with site access procedures.
- Check identification and issue access passes using the Matrix visitor and attendance system.
- Maintain accurate visitor and access records and generate related reports when required.
- Monitor building access and remain vigilant within your area, proactively identifying and reporting any potential access breaches or unusual activity to the on-site security team.
- Support daily mailroom/post room activities by directing deliveries to the ‘call area' or, in post room absence, signing for any deliveries that may come and escalating any issue in line with SOPS and general day-to-day activities.
- Work collaboratively with internal teams and service partners (e.g., security, cleaning, maintenance) to ensure building processes and protocols are consistently upheld.
- Handle enquiries and direct phone calls or emails in a professional and confidential manner.
- Maintain a clean and orderly reception and common areas.
- Provide general administrative support as needed.
- Ensure full compliance with GDPR, health & safety, and government site-specific policies.
