Key Responsibilities
- Front of House & Customer Service
- Deliver a professional meet-and-greet service for visitors, customers, and colleagues.
- Manage visitor registration and booking processes.
- Conduct site inductions for visitors and contractors.
- Provide guidance to visitors on building facilities and services.
- Act as the primary point of contact for enquiries relating to desks, meeting rooms, and workplace services.
- Workplace & Booking Management
- Manage desk and meeting room bookings.
- Monitor availability and resolve booking conflicts.
- Respond to booking enquiries and shared mailbox requests.
- Send booking confirmations and attendee communications.
- Monitor and manage booking no-shows.
- Coordinate hospitality requirements and room setups.
- Facilities & Workplace Support
- Conduct regular inspections of offices, meeting rooms, desks, printers, and communal areas.
- Maintain workplace standards, signage, and presentation throughout the building..
- Support kitchen and refreshment areas, including coffee machine maintenance and dishwasher management.
- Organise incoming deliveries and post collections.
- Reconfigure furniture and meeting spaces to support operational requirements.
- Technology & Administration
- Assist with meeting room AV setup and basic troubleshooting.
- Escalate IT issues to the appropriate support teams.
- Complete administrative tasks including scanning, document management, and record maintenance.
- Maintain accurate workplace and visitor documentation.
- Safety, Security & Compliance
- Report and elevate maintenance, security, AV, and IT issues.
- Support security audits and workplace compliance activities.
- Issue visitor and contractor passes in line with site procedures.
- Escort visitors when required.
- Complete end-of-day handover processes with Security teams.

Desirable Skills & Experience
- Previous experience within a Front of House, Reception, Hospitality, Customer Service, or Workplace Services environment.
- Experience using desk or room booking systems.

- Experience in administrative support functions.
- SIA Licence (although training and funding can be provided).
