We're looking for a Scheduler who will deliver excellent service standards, while meeting SLA agreements and adhering to job allocation schedules.
Contract Type: Permanent Hours: 16 hours p/w Days: Sunday & Monday Location: Bankside SE1, London
Role Responsibilities
- Operations Administration
- Provide administrative support across the Visitor Engagement and Security operations.
- Maintain accurate workforce records, operational databases and filing systems.
- Support payroll administration by checking timesheets and highlighting discrepancies.
- Assist with rota administration and workforce planning updates.
- Prepare reports, meeting documentation and operational information for contract leadership.
- Monitor shared inboxes and direct queries to the appropriate managers.
- Compliance Support
- Maintain training, onboarding and compliance records, ensuring documentation remains accurate and audit-ready.
- Update mandatory compliance trackers and monitor expiry dates for Right to Work, licences and training.
- Support the preparation of internal and external audits.
- Chase outstanding compliance documentation from employees and managers.
- Maintain incident records and compliance documentation in line with contractual requirements.
- Recruitment & HR Administration
- Coordinate recruitment administration, including interview scheduling and candidate communication.
- Prepare onboarding and induction documentation for new starters.
- Process uniform requests and maintain employee records, including holiday, sickness and absence.
- Provide administrative support for HR processes, including investigations, meetings and probation reviews.
- Operational Support
- Provide weekend administrative support to ensure business continuity.
- Prepare operational handovers for the Tuesday leadership team.
- Escalate urgent operational or compliance issues to the Operations & Compliance Coordinator or Contract Manager.
- Identify opportunities to improve administrative processes and support continuous improvement initiatives.
- Undertake any other reasonable administrative duties required to support the contract.

- Experience using Microsoft Excel, Word, Outlook and Teams.
- Ability to prioritise workload independently.
- Experience maintaining confidential records.

- Strong customer service and stakeholder communication skills.
Desirable
- Experience within facilities management, security or visitor services.
- Experience supporting recruitment or HR administration.
- Understanding of GDPR.
- Experience maintaining compliance records.
- Knowledge of payroll or rota administration.
- Experience supporting audits.
