Overview
Central Operations Administrator The successful candidate will be responsible for supporting the central administration teams including: costing, purchasing and estimating with their required administrative duties relating to fire and security systems.
Responsibilities
- Managing daily emails, responding to queries, and escalating issues as needed to the relevant department or manager in a professional and timely manner.
- Liaising with other internal teams, engineers, surveyors etc. to ensure smooth and efficient inter departmental processes.
- Processing the approvals (POs) issued by client for quoted works.
- Obtain supplier quotations and check stock availability to support planning and equipment orders.
- Accessing client portals to upload the relevant documents for the customer.
- Updating relevant records on system database including processing and maintaining customer records.
- Approaching clients to request purchase orders or uplifts to ensure accurate billing.
- Compliance, ensuring all certificates/documentation from engineers/subcontractors are completed correctly and are legible.
- Applying the clients SOR's for specified customers and follow the Companies Business Management System to achieve 100% compliance.
- Costing all jobs completed by engineers/subcontractors from previous days.
- Ordering regional engineers van stock replenishment.
- Ensure smooth process on receipting all orders on COUPA.
- Manage any Loan units and equipment repairs within regional and ensure smooth process for return.
- Support Vendor process for both new and existing suppliers through Mitie vendor approval process.
- Manage the WEEE waste process to ensure stock is disposed of and recycled correctly.
- Performing any other ad-hoc administrative tasks as requested.

- Self-motivated and confident in working with different teams and internal/external client and building strong working relationships.
- High level of attention to detail and accuracy.
- Commercial acumen
- Excellent verbal and written communication skills.
- Ability to complete tasks within clear deadlines.
- Strong organizational skills with the ability to coordinate multiple priorities and meet tight deadlines.
- Adaptable and flexible while working in a high-pressure environment.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Desirable Experience with systems such as CASH 4 WINDOWS, Coupa, and Maximo.
- Experience of working in a national technical service environment is preferred.
- Awareness/ experience working with fire and security systems.
