We are on the lookout for a professional, welcoming, and experienced Guest Services Co-ordinator to join our site at Bristol Parkway Training Centre in the heart of Bristol. You will be joining our Mitie Team and working in partnership with Network Rail.
Working hours: Monday - Friday 07:00 - 16:00
Pay: £13.45 an hour
You will perform reception, administration, and secretarial duties efficiently and effectively on behalf of the building in which you are located. You will help facilitate the flow of personnel by managing access points throughout the building and ensuring the maintenance of the site. You will be expected to keep a tidy and efficient reception area, providing a professional and courteous service throughout. You will also be required to handle any phone calls and emails in a prompt, professional manner as well as sorting and distributing incoming mail and packages.
As a Front of House Coordinator, you will be in charge of managing documentation and ensuring it is stored in the appropriate location or system. Some additional duties will include:
- Opening and closing the building, maintaining building security, managing queries and messages from visitors, issuing visitor and staff passes, assisting with emergency evacuations, ordering consumable goods and more.
- Signing in visitors, issuing the health and safety brief, answering and solving telephone queries and booking meeting rooms for our clients if required.
- Responsible for unlocking and locking the building daily, including carrying out daily checks to make sure the building is secure.
- Effective management of administrative tasks such as monthly visitor figures, no show report, stock take of audio-visual equipment, producing the Signature Network Rail newsletter, internal auditing and staff passes report.
- Responding to the Reception Inbox making sure all emails are replied to in a timely manner.
- Reviewing the security checklist ensuring all faults have been corrected or logged to maintenance.
- Ensuring all Network Rail Signature health and safety posters and leaflets are up to date and relevant.
- Being the representative on behalf of the team for the engagement team.
- Collating and ordering lunches from catering suppliers for each classroom.
- Maintaining up to date health and safety folders, with direction from the regional front of house manager.
- Co-ordinating the general running of the building including kitchen and break out room checks to ensure they are kept clean and tidy.
Along with reception duties, you will assist with additional tasks such as:
- Dealing with planned and reactive works as and when required.
- Working with our Compliance Manager to ensure all reactive and pre-planned maintenance jobs are completed within our agreed Service Level Agreement with the client.
- Conducting floor walks and logging any faults that are present.
