Role Overview: Provide operational support for office environment including facilities coordination, room setups, security checks, contractor access and compliance logging. This role supports safety, logistics and customer service, without performing cleaning or repair work.

  • Permanent full‑time (40 hours per week) with salary £23,000–£27,500 per annum.
  • Location: DVSA, Cygnet Way, Off Willowtree Lane, Yeading, Greater London, England.
  • Reports to Facilities Manager / Contract & Compliance Manager.
  • The assistant will predominantly work at Yeading but may visit Tunbridge Wells and other DVSA locations as required.

Key Responsibilities:

  • Facilities & Building Support: conduct routine visual checks, monitor meeting rooms, support office moves, provide furniture and equipment layout without repair work.
  • Health & Safety Compliance: weekly fire alarm testing, emergency lighting checks, keep escape routes clear, place safety signage, report hazards.
  • Security & Access Management: unlocking/locking office, basic security checks, support reception visitor control, escort contractors.
  • Logistics & Office Operations: set up meeting rooms, handle mail/parcel coordination, monitor consumables, report when replenishment is needed.
  • Contractor Liaison & Compliance: escort contractors, update logbooks, meter readings, help with preventive maintenance.
  • Staff Support & Customer Service: respond to requests, assist staff/visitors/contractors, conduct site inductions, allocate car parking, provide incident control.

  • Physically capable of moving and setting up furniture/equipment.

Qualifications (Optional / Desirable):

  • Basic Health & Safety awareness (e.g., Fire Warden or First Aid).
  • Experience in facilities, building operations, or office support roles.

Task Schedule:

  • Morning: Unlock building and assist with opening procedures. Conduct visual walk‑through of all office areas. Check meeting rooms for readiness. Confirm all escape routes are clear. Support reception with early visitor or contractor arrivals. Check stock levels of stationery, kitchen items, printer supplies.
  • During the Day: Set up/clear meeting rooms between bookings. Assist with office moves or room layouts. Receive and distribute deliveries. Escort contractors carrying out scheduled works. Respond to staff support requests. Perform light security checks around office areas.
  • End of Day: Check meeting rooms are reset. Ensure windows and doors are secure. Assist with locking procedures.

Weekly Tasks:

  • Fire alarm testing and log completion.
  • Visual inspection of emergency lighting.
  • Check first aid boxes if required.
  • Document and submit facilities issues for action.
  • Review consumables inventory and notify manager of replenishment needs.
  • Conduct a more detailed building walk‑through of plant rooms and service areas.
  • Update compliance and contractor attendance logs.
  • Support planned maintenance visits (water hygiene, HVAC checks, etc.).

Monthly Tasks:

  • Complete meter readings (gas, electric, water).
  • Assist with monthly H&S inspections (office walk‑round with FM or H&S rep).
  • Test panic alarms, door access points if required by the site.
  • Review and record fire evacuation escape route condition.
  • Support monthly office layout checks and future planning.
  • Prepare areas for monthly maintenance programmes.
  • Assist with audits, compliance reviews, or facilities reporting.
