What You'll Be Doing

  • Providing administrative support to the Facilities Manager and wider FM team.
  • Managing incoming emails, telephone calls and correspondence.
  • Maintaining office filing systems and management information records.
  • Producing reports, spreadsheets, presentations and operational documentation.
  • Supporting the service desk by logging, tracking and coordinating reactive maintenance requests.
  • Allocating work requests to engineers, contractors and site teams.
  • Monitoring job progress and helping ensure service level agreements (SLAs) are achieved.
  • Assisting with the administration and tracking of contract variations from request through to completion.
  • Supporting the coordination of small works projects, including quotations, approvals, project trackers and completion records.
  • Maintaining contract documentation, supplier records and procurement information.
  • Supporting the administration of planned preventative maintenance (PPM) schedules and compliance records.
  • Helping maintain critical documentation including fire safety records, water hygiene information, electrical certification, gas safety documentation, asbestos records, risk assessments, method statements and contractor permits.
  • Assisting with audits, inspections and compliance reporting activities.
  • Building positive relationships with school representatives, contractors, suppliers and colleagues.
  • Providing excellent customer service and professional support to stakeholders across the contract.
  • Learning how facilities management contracts operate within a live educational environment.

As part of your apprenticeship, you will be enrolled onto a relevant Business Administration apprenticeship programme. You'll be supported by experienced colleagues, dedicated mentors and our Apprenticeship Team through a combination of classroom learning, on-the-job training, one-to-one coaching, e-learning resources and practical workplace experience. Throughout the programme you'll gain valuable experience in service desk management, facilities management administration, contract management, variation control, small works coordination, compliance management, customer service, financial administration, supplier management and office management.

We're searching for organised, enthusiastic individuals who are excited about learning and ready to take on new challenges. To succeed as a Mitie apprentice, you'll need:

  • Strong communication skills, both written and verbal.
  • Good organisational skills and attention to detail.
  • Confidence using Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
  • The ability to manage multiple priorities and work effectively in a busy environment.
  • A professional and customer-focused approach.
  • A willingness to learn and develop new skills.
  • GCSE Maths and English at Grade 4/C or above (or equivalent).

It Would Also Be Beneficial If You Have:

  • Previous administration experience.
  • Experience using CAFM or helpdesk systems.
  • An understanding of facilities management or property services.
  • Experience of document management and record keeping.

No prior experience? No problem! If you're enthusiastic and ready to learn, we'll give you all the tools and support you need to succeed. Upon successful completion of the apprenticeship, opportunities may be available to progress into roles such as Facilities Coordinator, Facilities Administrator, Contract Support, Office Manager or Assistant Facilities Manager.
