Location: GSK, Cobden Street, Montrose, Angus, Scotland, DD10 8EA
Key Responsibilities
- Maintain electronic and hardcopy documentation throughout its lifecycle in accordance with the Quality Management System (QMS) and Global Records Retention Schedule (GRRS).
- Archive and destroy all Site Batch documentation in line with regulatory, QMS, and GRRS requirements.
- Securely store master copies of documents, ensuring they are archived, retrievable, reviewed, or destroyed according to company policies.
- Maintain GxP documentation from retention through to archive.
- Manage requests for archived Site GxP and Regulatory documentation and provide access when required.
- Ensure all services are delivered in line with agreed service levels in an efficient, professional, and customer-focused manner.
- Handle queries and problems promptly and professionally; communicate operational issues to the Line Manager in a timely way.
- Monitor performance of third-party suppliers and report any service issues.
- Maintain safe working practices to protect personal safety and the wellbeing of others on site.
- Maintain client and Mitie standards while consistently providing a high level of customer service.
- Meet all deadlines and service requests within agreed cut-off times; communicate any inability to meet deadlines.
- Escalate issues or concerns to the Line Manager and perform daily routines accurately and on time following correct procedures.
- Support records-related projects and complete general administrative duties related to Records Management.
- Register and process customer requests and handle sensitive, confidential, and personal information.
- Provide additional support to dedicated service teams.
- Proactively identify and report potential health and safety risks and promote Mitie values on site.
- Adhere to Mitie and Group Company policies and procedures for health and safety, reporting deficiencies in systems of work or equipment.
- Comply with Mitie’s information security procedures, proactively identify and report potential security risks, and report any actual or suspected incidents.
Required Qualifications
- Knowledge of the QMS, particularly Global Quality Policies and Guidelines for Document Management.
- Strong understanding of GMP, compliance, and regulatory expectations.
- Excellent written and verbal communication skills.
- Strong planning, organisational, and time-management abilities.
- Proactive, self-motivated with flexibility in problem-solving.
- Exceptional attention to detail.
- Proficiency in MS Office and Adobe applications.
- Strong customer service experience.
- Commitment to high standards of timekeeping.
