Job Objectives and Responsibilities
Ensure all maintenance tasks are planned and assigned to engineers. Monitor KPIs to ensure strict compliance and prevent financial deductions. Work effectively both independently and in a team to deliver statutory and contractual obligations to the highest standard.
Main Duties
- Allocate reactive and planned maintenance jobs to engineers and subcontractors.
- Prioritise reactive jobs based on classification.
- Monitor response and rectification times for jobs ensuring contract compliance.
- Liaise with subcontractors to book and coordinate jobs and liaise with customers for access.
- Update the CAFM system to process and complete jobs.
- Assist in gathering reports for month-end reporting.
- Provide excellent customer service to occupants.
- Maintain accurate records and work order documentation.
- Undertake additional duties as required.
Contractor & Stakeholder Management
Communicate planned works, minimise disruption, and maintain stakeholder relationships.
Compliance, Quality & Sustainability
Meet or exceed contractual KPIs and service levels. Maintain documentation for inspections, audits, and quality checks.
Person Specification
Qualifications & Experience
- Previous experience in FM scheduling.
- Experience working on a CAFM system.
- Understanding of a PFI contract.
- Excellent problem-solving and communication skills with professional interaction across stakeholders.
- Attention to detail and commitment to high standards.
- Ability to work under pressure and independently or as part of a small team.
- Full security clearance attainable.

- Follow H&S guidelines and comply with legislation and MOD/Estates policies.
- Participate in hazard reporting, near-miss capture, and incident investigation; complete corrective actions.
- Coordinate with Security and Facilities to uphold MOD site rules.

- Ensure compliance with Mitie’s information security procedures.
- Proactively identify and report security risks.
- Report actual and suspected security incidents.
