Working Hours: 20 Hours Per Week

Shift Pattern: Monday 08:00 - 16:00; Tuesday 08:00 - 16:00; Friday 08:00 - 12:00. With an expectation to help cover holidays and sickness on the days you are not contracted to work.

Purpose: We are on the lookout for a professional, welcoming, and experienced Receptionist to join our team. You will perform reception, administration, and secretarial duties efficiently and effectively on behalf of the building in which you are located. Working within and managing a 5* Mitie team, you will be the face of client workspace, taking full ownership of the working environment by delivering a first-class service across all integrated facilities management services. You will ensure all customer requests and site activities are carried out efficiently and effectively whilst providing an exceptional customer experience for all who reside or visit client premises.

Responsibilities:

  • Deliver a high standard of customer service, ensuring all guests receive an exceptional welcome.
  • Use computer systems effectively, including entering data into Excel, Word, and managing electronic filing.
  • Handle guest complaints promptly, escalating when necessary.
  • Maintain immaculate uniform and adhere to Signature grooming standards.
  • Build and maintain professional relationships with key stakeholders to understand their needs.
  • Act as the central on-site contact for service lines, contractors, clients, and guests.
  • Manage the shared inbox and process incoming emails professionally.
  • Handle general enquiries and manage bookings for taxis, shuttles, desks, rooms, and collaboration areas.
  • Welcome visitors professionally, issuing security passes and managing their access and transport requirements.
  • Maintain professional telephone and email etiquette at all times.
  • Anticipate and respond to client and visitor needs.
  • Manage the switchboard, ensuring all calls are answered and directed correctly, and maintain the related database.
  • Manage stock of travel tickets and process top-ups as required.
  • Collate and maintain data for reports and information requests.
  • Perform all reception duties in a friendly, professional manner and work collaboratively with colleagues to ensure seamless service.
  • Manage incoming and outgoing post, including franking and courier support.
  • Support audit preparation by sourcing and collating required documents.
  • Assist colleagues, managers, and clients with reasonable additional duties as required.
  • Maintain and use a portfolio of local information (transport, parking, amenities, restaurants, hotels, etc.) to support client enquiries.

Qualifications & Experience:

  • Strong team player with a proven ability to contribute to positive outcomes and deliver high-quality customer service.
  • Demonstrated track record of providing exceptional customer-facing support.
  • Excellent interpersonal and communication skills, with the ability to engage effectively with stakeholders at all levels in written and spoken English.
  • Proficient in computer use; familiarity with Microsoft Office (Word, Excel, etc.) is desirable but not essential.
  • Ability to work independently and use initiative when required.
  • Ideally a minimum of two years' experience in a customer service or training-focused role.
  • Experience with desk booking systems is advantageous but not required.
  • SIA licence preferred but not essential.
