We are looking for a professional, welcoming, and experienced Guest Services Co‑ordinator to join our Mitie Team at Bristol Parkway Training Centre in the heart of Bristol, working in partnership with Network Rail.
Working hours: Monday - Friday 07:00 - 16:00.
Pay: £13.45 an hour.
Responsibilities:
- Perform reception, administration, and secretarial duties efficiently and effectively on behalf of the building.
- Facilitate the flow of personnel by managing access points throughout the building and ensuring the maintenance of the site.
- Keep a tidy and efficient reception area, provide a professional and courteous service, handle phone calls and emails, sort and distribute incoming mail and packages.
- Manage documentation, ensuring it is stored in the appropriate location or system.
- Open and close the building, maintain building security, manage queries and messages from visitors, issue visitor and staff passes, assist with emergency evacuations, order consumable goods, and more.
Day to Day Duties:
- Sign in visitors, issue health and safety brief, answer and solve telephone queries and book meeting rooms for clients.
- Unlock and lock the building daily, carrying out daily checks to ensure the building is secure.
- Manage administrative tasks such as monthly visitor figures, no‑show report, stock take of audio‑visual equipment, produce the Signature Network Rail newsletter, internal auditing and staff passes report.
- Respond to the Reception Inbox, ensuring all emails are replied to in a timely manner.
- Travel to relieve other sites if needed (full licence holders preferred but not essential).
- Review the security check list, ensuring all faults have been corrected or logged to maintenance.
- Ensure all Network Rail Signature health and safety posters and leaflets are up to date.
- Represent the team for the engagement team.
- Collate and order lunches from catering suppliers for each classroom.
- Maintain up‑to‑date health and safety folders.
- Coordinate general running of the building including kitchen and break‑out room checks to keep them clean and tidy.
Additional Tasks:
- Deal with planned and reactive works as and when required.
- Work with the Compliance Manager to ensure all reactive and pre‑planned maintenance jobs are completed within our agreed Service Level Agreement with the client.
- Conduct floor walks and log any faults that are present.
