About the opportunity
Are you an organised, proactive administrator who enjoys keeping people, projects and priorities moving? This is a fantastic opportunity to join a global, employee‑owned business where collaboration, flexibility and high-quality support really matter. Based in the Edinburgh office, you'll play a key role in supporting Partners and the wider team across Scotland and Belfast, helping the region run smoothly day to day. You’ll be the person who brings structure, calm and momentum to a busy team environment — coordinating diaries, travel, meetings, documents, invoices, compliance activity and team communications. There will also be occasional travel across the region, giving you the chance to build strong relationships and stay close to the work you support.
What you’ll be doing
- Providing responsive administrative support to Partners, the Team Coordinator and the wider team.
- Managing complex diaries, meetings and communications so priorities stay on track.
- Coordinating travel arrangements, detailed itineraries and visa requirements where needed.
- Preparing, formatting and quality‑checking documents, presentations, reports, project profiles, CVs and bids under £100k.
- Supporting onboarding activity, service line inductions and distribution list updates for new team members.
- Helping ensure service reviews, mandatory training, timesheets and finance tasks are completed accurately and on time.
- Supporting Teams sites by managing members, folders, documents, links, planners and best‑practice guidance.
- Acting as a helpful point of contact for system enquiries and supporting colleagues with business systems and processes.
- Assisting with finance administration, including invoices, milestones, opportunities and contracts.
- Organising internal activities, team socials, service events and sector growth activities.
- Providing flexible support to other administrators and covering holidays where required.
What you’ll bring

- You'll enjoy solving problems, improving ways of working and delivering excellent service to internal and external stakeholders.
- Previous experience in an administrative role; experience within construction, consultancy or professional services would be helpful.
- Strong IT skills, including Microsoft Outlook, Word, Excel and PowerPoint.
- Confidence in preparing polished documents, presentations and written communications.
- A proactive, logical approach to diary management, travel planning and competing priorities.
- Flexibility and resilience when plans change or deadlines move.
- A calm, professional manner under pressure.
- Excellent attention to detail and strong organisational skills.
- Discretion and the ability to handle confidential information appropriately.
- A collaborative, team‑focused approach with a practical “can do” attitude.
- GCSE and A level qualifications, or equivalent experience.
