Legal Support Services includes document production specialists, paralegals, researchers, legal project management experts and legal operations professionals. The team covers a wide range of administrative, operational, and specialist matter and fee‑earner support using cutting‑edge tools and innovative tech solutions to deliver exceptional, frictionless service to fee earners across the firm.

The Legal Operations team is part of the Legal Support Services department and provides high‑value administrative support for fee earners with a focus on matter management, diary management, travel and business development.

Duties and Responsibilities

  • Support the London and Cambridge Legal Operations teams by ensuring the smooth running of the client/matter lifecycle, following documented procedures and ensuring all required information/documentation is obtained, issued and stored in the Firm's systems.
  • Produce billing guides, input billing data, distribute invoices to clients and file all bill‑related documentation.
  • Participate in the matter opening processes.
  • Archive documents, including scanning and scheduling of deeds and other files.
  • File, scan, print and photocopy documents.
  • Use technical applications such as DocuSign, PDFDocs, Bundle Docs, High Q and other apps.
  • Manage data sites for transactions and clients.
  • Log referrals and contacts to InterAction and update the system.
  • Process fee earners' expense claims.
  • Produce engrossments and bind legal documents, both hard and soft copy.
  • Arrange couriers.
  • Co‑ordinate the incoming and outgoing daily post.
  • Support Fee Earners with room bookings and audio‑visual support.
  • Work with other legal operations colleagues to provide holiday, illness and other cover to agreed standards.
  • Provide ad‑hoc support on other matter‑management related tasks as required.
  • Record tasks and assign tasks to the task‑management system.
  • Support fee earners with tech applications.
  • Maintain spreadsheets and systems indicating the location of original documents.

The role will be office based in our London office five days per week.

Qualifications

  • Previous experience in a customer service role or a professional service environment.
  • Strong academic background.
  • A team‑player attitude, willing to help with other tasks as needed.
  • Organised and methodical with excellent attention to detail.
  • Well‑developed interpersonal skills for working effectively with a range of people.
  • Effective written and verbal communication skills with warmth and professionalism.
  • Genuine interest in the legal field is desirable.
  • Experience dealing with time‑critical situations is desirable.
  • High discretion and confidentiality when handling sensitive or commercially sensitive information.
