The Legal Support Services team includes document production specialists, paralegals, researchers, legal project management experts and legal operations professionals. This team covers a wide range of administrative, operational and specialist matters, supporting fee earners across the firm with cutting‑edge tools and innovative tech solutions to provide exceptional, frictionless service.
The Legal Operations Team
The Legal Operations team forms part of Legal Support Services and provides high‑value administrative support for fee earners, focusing on matter management, diary management, travel and business development.
The Role
The Legal PA will work within the Legal Operations team to provide timely, high‑quality administrative and coordination support to a group of lawyers. This requires client contact, collaboration with a friendly, high‑performing team, and ensuring exceptional service for both lawyers and their clients.
The Legal PA must be self‑motivated, reliable, and able to manage workload, plan ahead, re‑prioritise and consistently deliver high‑quality work to tight deadlines.
Duties and Responsibilities
- Support fee earners and Senior Legal PAs throughout the client/matter lifecycle, following documented procedures and ensuring all required information is obtained, issued and stored on the firm’s systems.
- Help fee earners comply with the firm’s documented compliance policy and guidelines, especially around new matters, retainer letters, conflict checks, searches, CDD & KYC.
- Maintain and file documents in line with the firm’s electronic and hard‑copy filing protocols.
- Close inactive matters, return client funds and archive matters promptly.
- Develop knowledge of the firm’s billing systems, supporting fee earners to produce accurate bills and financial information.
- Ensure correct rates, discounts and billing information are set up, and “Money on Account” is collected or files are exempt.
- Monitor unpaid bills, liaise with Credit Control as needed.
- Process disbursement invoices and payments correctly and promptly.
- Serve as first point of contact for fee earners, fielding calls, emails, correspondence and meeting requests.
- Manage calendars across multiple time zones, schedule calls/meetings and follow up.
- Assist fee earners with expense claims and other business requirements.
- Manage travel for assigned fee earners, ensuring booking via the firm’s in‑house provider and capturing business expenses for payment.
- Organise business breakfasts, lunches or dinners, and assist fee earners with expenses.
- Log referrals and contacts in the CRM system (InterAction) and manage lists.
- Collaborate with Business Administrators for filing, archiving, scanning, photocopying, updating contacts, and courier arrangements.
- Work closely with the Document Production Unit to delegate formatting, production, typing, amendments, proofreading and similar tasks.
- Delegate work to Legal Support Services teams, the Global Capability Centre and other internal departments as appropriate.
- Support a cohesive working environment, cover Senior Legal PAs or other team members when required, and work flexibly across other Legal Operations teams.
- Take full responsibility for workload, communicate transparently and follow through on commitments.

- Select a focus area or specialism to develop new skills and support the firm’s business operations strategy.
Skills / Experience
- Administrative experience supporting a team in a similar professional services environment (ideally legal).
- Strong time‑management skills; capable of juggling multiple tasks, planning ahead and re‑prioritising readily.
- Excellent IT skills across MS Office, with willingness to learn new software and adapt to change.
- High attention to detail and ability to produce high‑precision work, even under pressure.
- Organised and methodical; able to work within structured processes, especially compliance/quality control frameworks.
- Well‑developed interpersonal skills; able to work effectively with a range of people and working styles.
- Strong team player; willing to take on work for additional fee earners or assist with tasks as needed.
- Effective communicator, warm and professional, in person and in writing, including drafting business emails and correspondence.
- High levels of discretion; able to handle sensitive or confidential information.
