Job Overview

Legal Personal Assistant – Legal Operations (Contract). This role is fee‑earner focused within one of the firm’s departments and is part of the Legal Operations team that provides high‑value administrative support for fee earners. The role involves client contact, coordinating with lawyers, and delivering quality service to both lawyers and their clients.

Responsibilities

  • Matter Management – Support fee earners and Senior Legal PAs in the smooth running of the client/matter lifecycle, following documented procedures; collaborate with internal client on‑boarding and compliance specialists; ensure all required information and documentation is collected, issued and stored on the firm’s systems; maintain and file documents in line with electronic and hard copy filing protocols; close inactive matters, return client funds and archive matters promptly.
  • Financial Management and Billing Support – Develop a strong working knowledge of the firm’s billing systems; support fee earners in setting up files with correct rates and discounts; collect Money on Account; monitor and address unpaid bills with Credit Control; issue disbursement invoices and payments correctly and promptly.
  • Fee Earner Support – Act as first point of contact on behalf of the fee earners; field calls, emails, correspondence and meeting requests; manage full calendars in multiple time zones; support expense claims and other business‑related requirements.
  • Travel – Fully manage travel for assigned fee earners, book business travel through the firm’s in‑house provider, provide itineraries and capture, approve and process business expenses in line with policy.
  • Business Development – Organise business breakfasts, lunches or dinners and assist fee earners with expenses; log referrals and contacts to the CRM system (InterAction) and manage CRM lists.
  • Delegation – Collaborate with Business Administrators to support filing, archiving, scanning and courier arrangements; work closely with the Document Production Unit to delegate formatting, production, typing, amends and proofreading tasks; liaise with Legal Support Services, the Global Capability Centre and other internal departments to obtain specialist input when needed.
  • Team Support and Collaboration – Support a cohesive working environment; cover Senior Legal PAs or other team members when required; work flexibly across other Legal Operations teams; take full responsibility for workload; be clear and transparent about working arrangements; demonstrate commitment to the firm’s core values, Equity, Diversity and Inclusion, and continuous learning.

Skills & Experience

  • Previous experience in an administrative role supporting a professional services team, ideally legal.
  • Strong time‑management skills; able to juggle multiple tasks, plan ahead and prioritise when needed.
  • Excellent IT skills across MS Office; willingness to learn new software and adapt to change; strong attention to detail and precision even under pressure.
  • Organised, methodical and effective within structured work processes, especially compliance and quality‑control frameworks.
  • Well‑developed interpersonal skills, able to work effectively with a range of people and working styles.
  • Strong team player, willing to take on extra work for additional fee earners or other tasks as needed.
  • Effective communication, warmth and professionalism both orally and in writing, including drafting business emails and correspondence.
  • High levels of discretion; able to handle sensitive or confidential information.
