The Sales Operations Team Lead is responsible for leading a team that supports sales operations activities, including contract setup, sales opportunities, quotations, and sales order processing in the CRM and related systems. This role ensures operational excellence, compliance with policies, SLA adherence, and continuous process improvement while partnering closely with Commercial, Finance, Legal, and other stakeholders globally.
Responsibilities:
- Manage daily operations covering sales opportunity management, sales quotations (pricing, approvals, deal structure), contract setup and amendments, and sales order creation and validation.
- Ensure accuracy, completeness, and compliance with internal controls, pricing policies, and approval matrices.
- Collaborate with commercial teams across regions through regular triage meetings to ensure smooth deal execution and order closure.
- Support deal structuring discussions and provide operational guidance to commercial teams.
- Serve as first point of escalation for complex transactions and operational issues.
- Ensure proper reconciliation of contract information and revenue data.
- Identify discrepancies, errors, or potential risks in contracts and escalate issues to relevant stakeholders for resolution.
- Support month-end closing activities and assist with audits as required.
- Coach, train and mentor team members to build a high-performing and customer-focused culture.
- Conduct performance reviews and personal development planning for direct reports.
- Allocate workload, manage priorities, and ensure timely delivery against SLAs and KPIs.
- Monitor and analyse operational KPI metrics, providing regular updates to Finance and Business leadership team.
- Lead process improvement initiatives to enhance sales cycle efficiency and reduce operational risks.
- Maintain and update SOPs, work instructions, and knowledge repositories.
- Perform any other ad-hoc duties as assigned by superior.
Who We Are Looking For:
- Bachelor’s degree in Business, Finance, Accounting, or related field.
- Minimum 5 years of working experience in sales operations, with at least 2 years in a supervisory or team lead role.
- Prior experience in SSC (Shared Service Centre) or multinational company.
- Proven success in leading high performing sales operations team and process transformation project.
- Strong analytical and problem-solving skills, with the ability to work with financial data.
- Strong attention to detail and ability to work to deadlines.
- Excellent communication and interpersonal skills.
- Proficient in MS Office and Power BI.
- Intermediate to advance MS Excel skills (VBA, VLookup, Pivot and basic formulas).
- Proficiency in CRM and accounting software. Experience in MS Dynamics 365 (CRM), NetSuite and automation tools (RPA and Power Automate) is highly desirable.
- Ability to work independently and collaboratively in a fast-paced environment.
- Flexible to work when required during Malaysia public holidays in which replacement holidays will be provided.
- Flexible to work on staggered hours to support UK & US timing.
