The MAPPA Administrator provides administrative support and is accountable to the MAPPA Co‑ordinator and/or Deputy MAPPA Coordinator. This is an administrative job within a multi-disciplinary team.

The jobholder will provide administrative support within a multi‑agency setting in line with National MAPPA Guidance. The jobholder will also ensure that staff are supported through efficient processes and that administration systems are maintained within specified timescales to promote the achievement of Strategic Management Board (SMB) objectives. The post holder will act as a point of contact for MAPPA with Responsible Authority agencies and the ‘Duty to Co‑operate’ Agencies as delegated by the MAPPA Coordinator. The post holder must commit to equality and inclusion, uphold policies regarding sensitive/confidential information, and may be required to work outside normal hours.

Responsibilities

  • Maintain accurate offender and victim information on approved databases.
  • Administer referrals into MAPPA from across agencies in line with National MAPPA Guidance.
  • Prepare, maintain and collate case files and management information to required standards.
  • Provide statistical and other data as requested.
  • Receive and distribute information and communications appropriately via telephone, paper, and email.
  • Communicate fairly, timely, and effectively with Responsible Authorities and Duty to Cooperate agencies.
  • Organise resources, facilities and equipment for MAPPA activities.
  • Act as a point of contact within the unit for specialist areas as needed.
  • Maintain systems to manage unit resources and recommend improvements.
  • Attend and support meetings, including agenda preparation, minute taking, and distribution of notes and action points.
  • Ensure information sharing and confidentiality principles are upheld as outlined in MAPPA Guidance.
  • Coordinate meetings for internal and external attendees, booking rooms, arranging refreshments, preparing material, and greeting visitors.
  • Handle highly sensitive issues diplomatically with strict confidentiality.
  • Keep up to date with changes in key external partnerships relating to MAPPA.
  • Comply with Health and Safety policies and conduct equipment tests as required.
  • Carry out safeguarding duties for children and adults per NPS statutory responsibilities and agency policies.

Technical Requirements

  • Good keyboard and IT skills including proficiency in MS Office Word and MS Office Excel.

Ability

  • Use of recording databases, e.g., ViSOR, NDelius.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non‑contractual form of flexible working that blends working from base location, different MoJ sites, and/or from home. The role can only be worked in the UK. Hybrid Working may not suit all circumstances and is subject to discussion with the successful candidate. For nationally advertised roles, the successful candidate will be appointed to an MoJ office location, which may include a Justice Collaboration Centre or Justice Satellite Office. Standard full‑time working hours are 37 hours per week excluding unpaid breaks. Part‑time, flexible and job‑sharing patterns are considered where they meet the demands of the role.

Benefits

  • Annual leave is 25 days on appointment, increasing to 30 days after five years’ service, plus public holidays. Leave for part‑time and job‑share posts is calculated on a pro‑rata basis.
  • The National Probation Service is covered by the Local Government Pension Scheme (LGPS) run through the Greater Manchester Pension Fund. Staff on civil service terms will be transferred to appropriate pension schemes.
