Division NPS – First line management of the Support Hub, reporting to the Deputy Director NPS.
Overview
Lead a team of business administrators to deliver a full package of business‑specific and transactional office activities that support the work of the NPS Division. The role coordinates and allocates team workload, manages resources, and ensures efficient and effective operation of the Support Hub.
Responsibilities
- Manage and develop a team of administrative staff providing full business support services to the Division.
- Provide comprehensive support to the NPS Deputy Director and senior leaders.
- Ensure effective management of resources, workflow and performance standards.
- Administer and oversee business services across multiple functions:
- Human Resources – absence management, vetting, appraisal, rewards, gift & hospitality register, training administration, organisational charts, health & safety.
- Information & Communications Technology – change requests, information management, Quantum point of contact.
- Procurement – I‑Proc requests/approvals.
- Meeting and event administration, public enquiry line, functional mailbox handling, hire‑car booking, general office administration, office notifications, complaints register.
- Provide leadership, line management, and development of the team, liaising with divisional colleagues to anticipate future demands.
- Oversee workflow allocation and ensure performance meets required standards.
- Implement administrative systems and procedural changes as per updated policies.
- Act as local information manager, ensuring compliance with protocols and procedures.
- Produce timely and accurate management information.
- Assist in recruitment, selection and induction of new hub staff.
- Represent the Deputy Director in ad‑hoc projects.
- Manage office facilities, maintenance, inventory and repair work.
- Ensure health and safety compliance – COSHH, risk assessments, display screen equipment reviews.
- Maintain workforce adjustments to comply with Equality & Diversity and Health & Safety policy.
- Agree budgets and unit costs, prepare proposals for expenditure, manage budgets and unit costings, and advise on financial/resourcing decisions.
- Implement health and safety initiatives, manage sickness absence data, and support workforce efficiency.
- Resolve grievances and complaints in accordance with policy, addressing conduct issues and conflict.
- Implement and promote equality, diversity and inclusion policies, collaborating with the Equalities and Diversity Unit.
- Communicate effectively – provide information, feedback, advice, influence, chair and participate in meetings.
- Manage own professional development and resource utilisation.
- Collect, analyse and use information to make critical decisions, develop systems, and compile reports.
- Develop and manage secure systems for sensitive information, data and intelligence exchange.
Qualifications and Experience
- Essential experience of managing business support services and a team of staff.
- Experience of ensuring and maintaining quality in management activities within a Probation setting.
- NVQ Level 4 or equivalent, or equivalent practical experience.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) or equivalent.
- Strong organisational, analytical and project‑management skills.
- Excellent communication, mentoring and stakeholder‑management abilities.
- Demonstrated commitment to equality, diversity and inclusive practices.
- Full security check (DBS) required.
Salary
£37,238 – £44,520, plus a London allowance (to be discussed at interview).
