Salary: £28,064 – £33,549 (plus London allowance to be discussed at interview).

Responsibilities
- Manage diary for the Deputy Director or Head of Operational Function, resolving conflicting demands and optimising time management.
- Screen telephone calls, correspondence and e‑mails, prioritise and respond or direct queries to relevant parties.
- Produce a range of material from correspondence to confidential reports.
- Maintain comprehensive electronic and manual filing systems to support service delivery.
- Plan and finalise agendas for meetings, coordinate and distribute paperwork.
- Take minutes at senior management meetings and distribute to relevant parties.
- Liaise directly with internal and external colleagues and partners to deal with enquiries and coordinate appointments.
- Stay updated on changes in key external partnerships related to probation service delivery.
- Contribute to the organisation and coordination of large‑scale divisional events.
- Coordinate meetings, book rooms, arrange refreshments and prepare materials.
- Handle highly sensitive issues with diplomacy and strict confidentiality.
- Arrange business travel and accommodation for the Deputy Director or Head of Operational Function.
- Provide information, feedback and advice; influence and persuade as required.
- Participate in meetings and use appropriate skills, styles and approaches.
- Manage own resources and professional development.
- Liaise with staff to collate and analyse information, develop and utilise data to identify trends and take appropriate action.
- Plan, implement and manage systems for the exchange of sensitive information, data and intelligence.
Essential Experience
- Experience managing diary of a senior executive.
- Experience providing a wide range of management support activities.
Technical Requirements
- NVQ Level 2 or equivalent in a relevant subject (or appropriate practical experience).
- IT skills: Microsoft Word, Excel, Outlook and PowerPoint.
Hours of Work
37 hours per week (excluding unpaid breaks). Unsocial hours allowances may apply.
