The purpose of the role is to support the delivery of divisional administrative functions to ensure efficient and effective business support services are provided to the PS Division.
Responsibilities & Duties
- Production of documents and reports using computer-based systems.
- Maintenance and continuous improvement of administrative systems, processes and workflows.
- Business Services support including:
- HR: absence management, vetting administration, appraisal and reward recording, gift & hospitality register updating, training administration, organisational chart maintenance, health & safety administrative support.
- ICT: change requests processing, local information management using probation systems, quantum point of contact.
- Procurement: i-Proc requests.
- Other: design and maintenance of records, consistent processes for local Probation teams, processing and recording of goods and services documents, administration of room bookings, meetings and events, responding to telephone enquiries, car booking administration, general office administration, printing requests, sending office alerts, data entry, managing confidential data, working with Shared Services, communication skills, professional development.

Essential Experience and Qualifications
- Experience of providing a wide range of business service support activities.
- Previous administrative experience.
- NVQ Level 2 or equivalent, RSA III (or equivalent), or CLAIT Advanced.
- IT skills: Microsoft Word, Excel, Outlook, PowerPoint (or equivalent). Knowledge of Lotus Notes acceptable.
