Overview of the job
- Administrative support role within the Probation Service (PS) Directorate in HMPPS.
- Reports to the line manager and provides first‑point-of-contact reception duties and a range of office‑based services.
Summary
Provide an effective and efficient front‑line service for visitors, callers and staff, and support the delivery of administrative functions in line with service policy and procedures.
Responsibilities, Activities & Duties
- First point of contact for the Probation Service: greet visitors, log arrival and departure, issue visitor passes and security fobs, and notify appropriate staff.
- Use situational awareness, tact and diplomacy to de‑escalate potentially violent situations, recognise safeguarding risks and take remedial action including notifying Probation Practitioners and updating Delius.
- Respond to reception enquiries about basic information on the Probation Service and local support services; refer technical enquiries to the appropriate manager.
- Manage building logistics: mail, PPE, stationery, room bookings, event support and registration.
- Prepare and process bus fares/travel warrants for people on probation and handle petty cash.
- Maintain health and safety and security of the building: act as key holder, monitor CCTV, test alarms, assist evacuations, and act as fire warden/first aider where trained.
- Log and report building faults and incidents, making decisions on urgency and escalating issues as required.
- Support case administration of Person on Probation teams by maintaining confidential files, using computer software, producing documentation, accessing databases, and scanning/archiving sensitive data.

Hours of Work (Unsocial Hours)
Additional payments are made for working unsocial hours. Core hours include regular unsocial hours (evenings and/or weekends) as determined by business need.
