This role is an administrative role based within the Probation Service (PS) Directorate in HMPPS. The job holder reports to the designated line manager and supports the provision of business specific and transactional office‑based activities.

Responsibilities include:

  • First point of contact for the Probation Service: greet visitors, record arrival and departure, issue visitor passes and security fobs, and notify appropriate staff.
  • Use observational skills and situational awareness to diffuse potentially violent situations, recognise safeguarding or risk issues and take appropriate remedial action, including emailing the Probation Practitioner and updating Delius.
  • Answer enquiries relating to basic information on the Probation Service and local Person on Probation support services; refer more technical enquiries to an appropriate manager.
  • Manage building logistics: mail items, order office stationery and PPE, manage room, hot‑desk and car‑parking bookings, support and service meeting rooms, prepare for events and event registration.
  • Process bus fares/travel warrants for people on probation and handle day‑to‑day petty cash and travel warrants between Probation properties.
  • Assist with Health and Safety and security aspects of the building: act as key holder, operate physical security, test fire and panic alarms, monitor CCTV, assist evacuation measures, act as Fire Warden/First Aider, and support risk assessments where trained.
  • Log building faults and incidents, maintain a maintenance repair log, and manage escalation through appropriate channels; escort contractors and visitors when required.
  • Support case administration for Person on Probation by providing confidential and high‑level administrative support: process and update computer‑based and manual files, use a range of computer software, produce documentation and correspondence, access databases, and scan/archive data.

Qualifications and Experience:

  • Proven proficiency in ICT, including full range of Microsoft Office applications.
  • Excellent verbal and written communication skills.
  • Experience working in a high‑pressure or stressful environment.
  • Experience in customer relations.
  • GCSE A‑C grades (or equivalent) including Maths and English; or a proven track record in a commensurate role.
  • IT qualification equivalent to ECDL/CLAIT or equivalent work experience.

Desirable experience: prior work in the criminal justice field.

Working Hours and Conditions:

  • Core hours include regular unsocial hours (evenings and/or weekends).
  • This role may involve late night and weekend working.
  • Hybrid working arrangements are offered where business needs allow, with working from a base location, other MoJ sites, or from home, subject to pre‑employment checks.
  • All work is performed within the UK.
