Reports To: Head of Information and Records Management Strategy Delivery and Departmental Records Officer (Grade 6).

Location & Terms of appointment: This is a permanent post based in 102 Petty France, London.

Salary and Grade: This post is Grade 7.

New entrants to the Civil Service will be expected to join on the minimum of the pay range. Existing Civil Servants will have their salary calculated in accordance with the Department’s pay on transfer / pay on promotion rules.

Background

The role is based in the Information Services Division which is responsible for promoting effective information and records management across the Ministry of Justice. Information is critical in Ministry of Justice’s (MOJ) ability to make good decisions, develop effective policy and deliver effective services. It is therefore vital that we manage information effectively so it can be found when it is needed, so you, your colleagues and successors will be able to work more efficiently and the MOJ will be able to meet its legal obligations in the Freedom of Information, Data Protection/GDPR and Public Records Acts.

Information management is the process of looking after information through its lifecycle from creating it and storing it so that it can be found quickly and easily, to sharing it appropriately and either deleting it or preserving it when we don’t need it anymore. Good information management ensures that the right information is available to the right people at the right time in the right way.

The MOJ through ISD is driving a digital records transformation. This is called the Digital Records Roadmap (DRR) and the Head of Digital Information and Records Team will spearhead the delivery of this work. You will lead the DRR Team and work closely with Justice Digital to ensure we are maximising the use of our technology to manage our digital information and departmental records effectively, compliantly and safely.

As part of the MOJ’s Information Service Division’s senior leadership team, you will play a key role in the successful management and transformation of the department’s digital information.

Main Activities and Responsibilities:

This opportunity is to lead the Department’s Digital information and Records Management Team’s activities. The post holder will be expected to:

  • Co-lead driving forward progress on implementing MOJ’s Information Wise Strategy, specifically the process and technology delivery pillar.

  • Have joint strategic oversight of the Digital Records Roadmap project and delivery of new ways to manage MOJ’s digital information and records.

  • Collaborate with ISD and Digital colleagues to develop the MOJ’s first strategic approach to the digital sensitivity review and operationalise the transfer of digital information and records to The National Archives.

  • Develop and maintain influential and effective working relationships with stakeholders inside and outside the Department and outside government, including large third sector delivery organisations and influential information professional bodies.

  • Lead colleagues from across the Information Services Division, work closely with the Justice Digital and others to ensure that the MOJ’s digital information assets are appropriately managed in line with legal requirements and user needs.

We are looking for an outstanding candidate who will pick up this challenge quickly and confidently to lead a busy team in fulfilling the ambition to drive the move towards digital information review and preservation of records or deletion. You will also lead the identification of opportunities for and incorporation of modern technology and new ways of working into wider Departmental information policies, processes and guidance.

The team works within a legislative framework (Public Records Act 1958 and 1967, GDPR and Data Protection Act 2018, Freedom of Information Act 2000) and in accordance with guidelines set by independent inquiries to obtain, store, safeguard and preserve records, making them available to the public where appropriate.
