A day in the life of and Accounts Assistant

Supporting the Finance Department in the smooth and efficient running of the hotel's accounting functions, ensuring accurate financial records, timely processing of invoices and payments, and excellent internal and external customer service.

The role will focus heavily on Accounts Receivable (AR), Purchase Ledger, and daily financial administration within a busy hotel environment.

Key Responsibilities

  • Accounts Receivable (AR)
  • Raise and process sales invoices accurately and in a timely manner.
  • Reconcile guest ledger accounts and company accounts.
  • Chase outstanding payments and maintain debtor accounts.
  • Allocate payments received and investigate discrepancies.
  • Action credit control procedures and monthly aged debt reporting.
  • Support month-end AR reconciliations.
  • Purchase Ledger
  • Process supplier invoices and match against purchase orders and delivery notes.
  • Ensure invoices are authorised correctly and coded accurately.
  • Reconcile supplier statements and resolve invoice queries.
  • Maintain accurate purchase ledger records and filing systems.
  • Build positive working relationships with suppliers and department heads.
  • General Finance Duties
  • Assist with daily banking and cash reconciliations.
  • Assist with month-end procedures and financial reporting.
  • Maintain accurate financial records and documentation.
  • Support audits and compliance checks.
  • Assist with stock and cost control administration.
  • Ensure adherence to hotel financial policies and procedures.

Skills & Experience Required

  • Previous experience within an Accounts Assistant or Finance Administration role.
  • Experience with Accounts Receivable and Purchase Ledger is essential.
  • Previous hospitality or hotel finance experience desirable.
  • Good understanding of accounting processes and financial controls.
  • Strong attention to detail and accuracy.
  • Excellent organisational and time management skills.
  • Good communication skills and ability to work with all departments.
  • Confident using Microsoft Office, particularly Excel.
  • Experience using hotel finance systems would be advantageous.
