To support the smooth and efficient running of the practice by delivering a comprehensive, high-quality reception service to patients, visitors, healthcare professionals, colleagues, and associated organisations. The role acts as the first point of contact for all visitors to the practice, ensuring a welcoming, professional, and patient-focused experience at all times.
Main duties of the job:
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, whether in person or via the telephone.
- Assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
- Process repeat prescriptions in accordance with practice guidelines and standard operating procedures.
- Be compassionate and discrete when dealing with patients.

Job responsibilities:
- Maintain and monitor the practice appointment system.
- Welcome patients and visitors to the organisation, directing requests appropriately.
- Process personal, telephone and e-requests for appointments via SystmConnect.
- Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
- Signpost patients to the correct service.
- Initiate contact with and respond to requests from patients, team members and external agencies.
- Clinically code data on SystemOne.
- Photocopy documentation as required.
- Data entry of new and temporary registrations and relevant patient information as required.
- Input data into patients' healthcare records as necessary.
- Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team.
- Manage all queries as necessary in an efficient manner.
- Carry out system searches as requested.
- Maintain a clean, tidy, effective working area at all times.
- Monitor and maintain the reception area and notice boards.
- Support all clinical staff with general tasks as requested.
- Action incoming mail and correspondence.
- Scan patient-related documentation and attach scanned documents to patients' healthcare records.
- Complete opening and closing procedures in accordance with the duty rota.
Person Specification:
- GCSE Grade C or above (or equivalent) in English and Maths.
- Understanding of Confidentiality and Data Protection.
