We are recruiting a Receptionist to join our Facilities team in our Cambridge office. The position is office‑based, 35 hours per week, Monday – Friday, covering 07:30 – 18:00 with occasional evening work on a rota basis, and includes 1 hour lunch.
Responsibilities
- Provide a professional front‑of‑house service, creating a positive first impression for all visitors.
- Manage building access, verify identities, and ensure security protocols are followed at all times.
- Maintain a tidy reception area, monitor shared inboxes, and deliver consistent, high‑quality client service across the office.
- Support daily building operations including opening/locking procedures, key management, visitor sign‑in, and contractor coordination.
- Conduct routine checks of reception facilities (e.g., CCTV, access gates) and ensure compliance with safety procedures.
- Act as a trained fire warden/first aider, supporting emergency response and reporting any health & safety issues.
- Handle post distribution, visitor passes, taxi bookings, courier requests, and general logistics.
- Maintain accurate records and support additional services such as deliveries and collections.
- Liaise with internal teams and external contractors, provide switchboard support where needed, and communicate updates effectively.
- Uphold company values, confidentiality, and compliance with all policies including AML and diversity standards.
- Present professionally at all times.
- Work collaboratively with colleagues, support new starters, and contribute to team objectives.
- Be flexible to support events and busy periods.
- Use a range of systems confidently including Outlook, Teams, Zoom, iManage, Mattersphere/3E, Word, Excel and PowerPoint.
Qualifications
- Proactive and highly organised with previous office and reception experience.
- Confident communicator who remains calm under pressure and demonstrates excellent attention to detail.
- IT literate with a willingness to learn; experience in a professional services environment and knowledge of Microsoft Word and Outlook are advantageous.
