A fantastic opportunity for someone to join our Oxford office as a Trainee Executive Assistant.

The role

This is a training role designed to develop skills needed to provide Executive Assistant services. You will work closely with experienced EAs, Team Leaders, and Managers to learn the role, initially supporting a few lawyers. You will utilize internal resources, including the Document Production team, Administrative Assistants, and Business Services. While you will have some autonomy, developing client knowledge, building relationships, and becoming an integral part of the EA team are key expectations.

The person

Ideal candidates will have experience in an Administrative Assistant role or similar professional environment. You should be an organized multitasker, comfortable working with diverse teams.

The role requires someone who:

  • Will manage a small number of lawyers and delegate tasks appropriately;
  • Will develop prioritization skills;
  • Is organized and methodical;
  • Has strong written and verbal communication skills;
  • Has good attention to detail and teamwork skills;
  • Is confident in building relationships with clients;
  • Is open to new responsibilities and resilient in facing challenges.

The activities

Responsibilities include managing lawyer workloads, scheduling meetings, assisting with event planning, engaging in networking, managing emails and feedback, supporting legal directory submissions, updating newsletters, and coordinating diary appointments.

Client service

You will deliver outstanding client service, follow instructions, proactively progress tasks, ensure compliance, use digital systems, participate in helplines, assist with correspondence and legal documents, and coordinate file reviews.

Finance and billing

You will handle billing meetings, prepare invoices, liaise regarding fees, and manage expense claims.

Workflow management

You will prioritize tasks, communicate effectively, provide clear instructions, and manage client spreadsheets.
